What are the responsibilities and job description for the Coordinator, General Licensing (Hybrid) position at Broadcast Music, Inc?
POSITION SUMMARY
Supports the Licensing department by assisting with recruiting, onboarding, employee engagement, and general administrative functions. Partners with Licensing management, Human Resources, and Information Technology.
LOCATION
Nashville, TN office. BMI has transitioned back to working in the office on a regular hybrid schedule. At present, most team members are expected in the office three (3) days a week. Decisions regarding future transitions will take place in phases as BMI continues to closely monitor COVID-19 as employee safety is our priority.
FUNCTIONS OF THE JOB
Recruiting Support
- Partners with Human Resources and Licensing hiring managers to support recruiting efforts.
- Manages all paperwork related to personnel changes, recruitment, and employee transitions.
- Represents the Licensing department at job fairs and networking events.
- Organizes and documents weekly recruiting status meetings with HR and Licensing Leaders.
- Develops and delivers reports related to Licensing staffing activity.
- Assists with scheduling interviews and candidate communication.
- Maintains applicant tracking system and ensures data integrity.
Onboarding & Engagement
- Collaborates with relevant departments (Licensing Operations, Facilities, HR, IT) to ensure seamless onboarding of new team members.
- Collaborates with team leaders to develop and maintain onboarding schedules.
- Develops, manages, and updates training modules and participant guides.
- Organizes, schedules, and co-facilitates new hire training classes.
- Manages knowledge repositories, SharePoint sites, and other communication platforms to ensure accuracy, accessibility, and up to date information for team use.
- Coordinates and facilitates 30-60-90-day check-in experiences for new hires.
- Plans and executes team-building activities and events to foster engagement and collaboration.
Administrative Support
- Coordinates and facilitates meetings with leadership and team members.
- Assists with updating Licensing and company project plans and documentation.
- Manages calendars and travel arrangements for team members as needed.
- Orders and maintains office supplies and equipment.
- Processes invoices and expense reports.
- Provides general administrative support to the Licensing team.
- Acts as a resource for new team members during their first 90 days of employment.
Additional Responsibilities

QUALIFICATION REQUIREMENTS
Education: Bachelor’s Degree or equivalent required.
Experience: Minimum 2 years’ experience in an administrative capacity supporting multiple client groups.
SKILLS AND ABILITIES

- Ability to utilize critical thinking skills and make good decisions
- Strong oral and written communication skills
- Proficient in Microsoft Office suite, particularly Word, Excel, and Outlook
- Detail-oriented and strong organizational skills

- Comfortable in social settings representing an organization
- Travel as needed
SALARY RANGE
The specific base salary offered to a successful applicant will be based on individual qualifications, skills, experience, and education. The pay range is subject to change at any time based on various internal and external factors. The position may also be eligible for one or more performance-based bonuses.
