Director of Operations
The Director of Operations will work with church members, church staff, deacon body and committees to administrate the business of the church and to help guide, direct and manage the critical functions to meet the church’s day-to-day operations and long-term goals.
Description and Responsibilities: The Director of Operations reports directly to the Senior Pastor and will be responsible for the following areas, as well as other tasks as assigned by the Deacon body and/or the Senior Pastor:
LEADERSHIP AND SUPERVISION
1. Leads church operations including but not limited to the office and the church facility as a whole.
2. Provides direct supervision and Human Resources for non-ministerial staff and volunteer tasks.
3. Coordinates work schedules and supervise building staff.
4. Attends monthly deacons’ meetings as a non-voting member to report on status of all areas of responsibility and to receive direction in those areas.
5. Teams with the Senior Pastor and Minister Team to guide, direct and manage the critical functions of the church to meet the long-term goals of the church.
6. Serves as a member of the Leadership Team to provide support and visioning.
7. Attends and participates in staff meetings.
8. Maintains personnel records; hires, on-boards, and coaches administrative staff members.
9. Ensures all associate forms related to insurance and benefits are completed in a timely manner and are up-to-date.
10. Coordinates all staff benefits.
11. Maintains office equipment and office supplies.
12. Administers the records of the church and official documents.
13. Answers questions from members and other staff regarding administrative processes.
FINANCE & HUMAN RESOURCES
1. Works closely with finance manager and can serve as a backup.
2. Supervises employees within the guidelines of the employee handbook.
3. Ensures appropriate job descriptions are in place for each position in the church. Evaluates and revises job descriptions as needed.
4. Monitors the performance and compensation policies for all non-ministerial personnel and coordinates job performance evaluations annually.
5. Develops and edits employment policies and procedures in partnership with the personnel committee.
6. Orients new employees in the area of human resources and policies.
7. Maintains personnel files.
8. Responsible for payroll.
9. Facilitates annual planning and budget process to ensure the deacon body, finance committee and ministers have the information needed to make educated decisions.
10. Recruits, trains and encourages the staff and volunteers.
11. Provides weekly, monthly and quarterly finance reports to the appropriate parties.
12. Initiates budgeting process, compiles data and presents budget information to the appropriate parties ultimately leading to approval.
13. Controls all spending and ensures spending stays within the budget.
14. Tracks and manages all contractors including quotes, kick-off meetings, project touch base, project budget and ultimately project completion checklists.
15. Oversees and or prepares, signs and reviews checks for all payable items in coordination with the finance team member.
16. Coordinates and or prepares electronic funds transfers.
17. Provides advice and support in church wide stewardship campaign
18. Maintains confidential church business information such as membership tithes and other confidential membership information.
Technology and Office Equipment
1. Serves as point of contract for all technology and or office equipment needs.
2. Coordinates with contractors as needed to manage any system upgrades or issues. This includes computer upgrades, telecommunications, copier, electronic folder and postage machine.
3. Manages daily computer issues and is responsible for electronic door system, camera system and phone system.
FACILITIES & BUILDING AND GROUNDS
1. Serves as church liaison and subject matter expert to the building and maintenance committee.
a. Works with team to manage budgeted renovation projects and explore building needs.
2. Oversees all operations for the church.
a. Communicates and schedules all operational (contractor) disruptions with the feedback from the minister, office and sexton team.
b. Ensures the physical buildings belonging to the church are well-maintained by contractors and overseeing their work.
c. Oversees and coordinates with the appropriate committee body (Deacons or Trustees) all insurance policies associated with the church in a timely manner to ensure costs and benefits are appropriately evaluated.
d. Maintains an inventory of all church property including equipment.
Qualifications:
1. Minimum 5 years supervisory experience in a similar environment.
2. Strong financial background
3. Building oversight experience
4. College degree preferred.
Skills, Knowledge & Abilities:
1. Demonstrates excellent interpersonal and leadership skills.
2. Displays strong verbal and written communication skills.
3. Has exceptional mathematical abilities.
4. Pays close attention to detail and has excellent record keeping abilities.
5. Possesses strong technological abilities and has knowledge of computer programs such as Microsoft Word, Excel and PowerPoint.
6. Has ability to operate standard office equipment.
7. Demonstrates knowledge of and is able to apply standard accepted accounting practices.
8. Possesses the ability to skillfully coordinate the work of a large group of volunteers.
Time required: Weekly hours may vary, but anticipate the need for 30 hours per week primarily Monday – Thursday and “on-call” for building emergencies as primary point of contact for fire department, pastoral needs, etc.
Compensation: The salary and total compensation will be based on the educational background and experience of the candidate selected.
Salary : $65,000
