BROC Community Action is seeking to hire an Accounting and Administrative Support Specialist for our Weatherization Program. This position will assist in the financial and data management responsibilities that support the operations of our growing Weatherization department. This role requires accurate data entry of financial transactions, processing weatherization expenditures, maintaining accurate records for the department's clients, monthly reports, and compliance activities. The specialist will support the accounting and administrative staff in ensuring financial records are complete and up to date while adhering to non-profit and regulatory standards.

Key Responsibilities:

1. Financial Data Entry, Integrity and Retention:

  • Accurately enter financial and programmatic data crucial to the daily operational management of weatherization projects. This would include but not limited to the input of daily material and labor logs, processing of invoices, inventory transfers, inventory controls, and other program expenditures. This individual would also be responsible for sorting multiple funding sources to ensure accurate reimbursements while utilizing accounting software and various program management databases.
  • Maintain documentation necessary for internal and external audits, ensuring all financial transactions are properly recorded and supported by appropriate documentation.
  • To ensure the accuracy and consistency of financial data being entered into these systems, this position will perform regular internal audits to check for discrepancies in financial entries and rectify any errors to ensure the integrity of all transactions.
  • Safeguard sensitive client personal and project financial data to maintain confidentiality while complying with industry standard data security.

2. Administrative and Miscellaneous Support:

  • Assist the Weatherization Admin Coordinator/ Staff Accountant in monthly financial closing procedures.
  • Assist the administration team in forecasting expenditures and reimbursements for pending or completed projects.
  • Provide clerical and administrative support to the Weatherization Department. This may include preparing, organizing and filing program documentation while utilizing a paperless system.
  • Cross training with client intakes and other weatherization program roles to assist with coverage as needed.

Qualifications:

Education/Experience:

  • High school diploma or equivalent required; associate's degree in accounting, finance, or a related field preferred.
  • Prior experience in accounting, finance, or administrative roles, preferably in a non-profit or government-funded organization.
  • Experience with weatherization programs or energy efficiency projects is a plus.

Skills:

  • Excellent communication skills, both written and verbal, for interacting with staff, clients, and community partners.
  • Knowledgeable in accounting principles, financial reporting, and budgeting practices. Experience in non-profit financial regulations and grant management is a plus.
  • Proficient in accounting software (e.g., QuickBooks, Excel, or similar programs) and general office applications (Word, Excel, Outlook).
  • Ability to maintain confidentiality and discretion when handling financial information.
  • Strong attention to detail and ability to handle financial data accurately.
  • Strong organizational skills and ability to manage multiple tasks in a deadline-driven environment.
  • Ability to work effectively both independently and in collaborative, team-oriented environments.

Physical Requirements:

  • Ability to sit/stand at a desk and use a computer for extended periods.
  • Ability to lift and carry files or office supplies up to 25 pounds.

Work Environment:

  • Office setting.
