The Payroll Specialist performs all activities necessary to process bi-weekly and off-cycle payrolls including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management.

The Payroll Specialist performs all activities necessary to process bi-weekly and off-cycle payrolls including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management.
Responsibilities
- Processes Bi-weekly Payroll
- Complete confidentiality pertaining to all information within the HR and Payroll function
- Inputs, maintains, and reviews all data within the payroll processing system to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions
- Generate reports from the payroll system based on requests. Responds in a timely fashion to internal and external requests for payroll information by staff, external agencies/organizations, Human Resources and management (e.g., wage garnishments, mortgage and rental requests, etc)
- Manages status changes that impact employee changes in hours, schedules, pay, etc.
- Train all employees in the proper use of a computerized payroll system. Attends New Hire Orientation
- Provides support in pay-related matters for all employees
- Assists the Finance/HR Department in review of payroll related matters, including but not limited to accruals, benefit allocations, analysis of hours, and rates
- Processes 403(B) deductions and upload to vendor site
- Facilitate audits by providing records and documentation to auditors
- Ensures maximum compliance with federal, state, and local laws related to payroll processing, wages, and hours including verification of documents for completeness and compliance with government and private agencies
- Identifies, updates, and recommends improvements to payroll processes, systems, and procedures
- Responsible for responding to all outside requests regarding employment verification information
- Comply with all organization policies and procedures
- Maintains professionalism in the work environment and with outside vendors
- Compiles financial information and assists in the preparation of reports
- Applies a working knowledge of applicable laws and regulations. Verifies documents for completeness and compliance with government and private agencies
- Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports
- Performs any other duties as assigned by the Senior HR Generalist or Director of Human Resources
- Associate’s degree in accounting, business or equivalent work experience
- Payroll experience preferred
- Experience utilizing UKG Ready preferred
- Knowledge of applicable state and federal laws and regulations is desirable
- Strong interpersonal communication and organizational skills with the ability to set priorities efficiently
- Excellent computer skills and proficiency in Microsoft Office, including Excel and Word as well as other payroll related software
- Ability to multi-task and meet deadlines, which may include working outside the normal business day (weekend on occasion due to holiday deadlines)
- Excellent analytical and problem-solving skills
- Excellent time management skills
- Position will require the ability to sit for extended periods of time, using computer and telephone, good vision for viewing computer screens, and ability to walk to various locations within the office.
