What you will be doing
- Lead all preparation, development, and submission of proposals, RFQ/RFP, ensuring compliance of submittals per RFQ/RFP requirements.
- Collaborate with technical staff, project managers, leadership, and marketing team to gather necessary information for proposals, presentations, and project meetings.
- Prepare interview presentation materials and coordinate with the Project Team to strategize, rehearse, and present to external clients.
- Manage proposal process from kickoff meetings to final submission and guarantee deadlines are met.
- Comfortable with holding project teams accountable for deadlines and information required of others.
- Daily coordination with the Marketing Manager to ensure alignment of brand standards and marketing strategies.
- Write and edit proposal content, ensuring clarity, accuracy, and alignment with client requirements and firm standards.
- Manage and regularly update information in Deltek VantagePoint ensuring data accuracy and integrity and generate pipeline reports to support business development, operations, and marketing efforts.
- Track and analyze the effectiveness of proposals and RFQ/RFP responses, future project leads, and follow up with purchasing departments and clients on a weekly basis.
- Maintain and seek out opportunities to improve the library of reusable components, templates, and processes to increase efficiency and enhance quality on future bids.
- Debrief of post-submittal to all stakeholders.
- Collaborate with the Marketing Department to develop efficient and effective pursuit processes, leverage feedback to inform improvements.
- Additional responsibilities may include supporting business development efforts, assisting with operational tasks, contributing to marketing initiatives.
- Communicate effectively among team members, consultants, and clients, as required.
- A degree in Marketing, Communication, Business Administration, or other related majors with a concentration requiring strong writing, analytical, design, and communication skills is required.
- Minimum 4 years in the Architecture, Engineering, and Construction (AEC) industry in a similar role.
- AEC proposal writing and coordination experience. Work samples or portfolio desired.
- Proficiency in using CRM systems, preferably Deltek VantagePoint, for tracking client information, pursuits, and marketing materials.
- Strong understanding of RFQ/RFP procurement processes and packaging requirements.
- Understand the SF 330 / Architect-Engineer Qualifications process (experience preferred)
- Proficiency in Microsoft Office and Adobe Creative Cloud (InDesign, Illustrator, and Photoshop) with strong graphic layout capabilities.
- Excellent writing, editing, and communication skills with strong attention to detail.
- Ability to manage multiple projects/deadlines and accommodate shifting priorities.
- Experience with Deltek VantagePoint preferred.
- Demonstrates reliability and takes initiative by working independently, offering proactive, solutions-based approaches, and confidently taking charge of tasks and challenges.
