Job Summary: We are seeking a dedicated and organized Receptionist/Scheduler to join our pest control company. The ideal candidate will be the first point of contact for our customers, providing excellent customer service, handling inquiries, scheduling appointments, and supporting the daily operations of our office.
Key Responsibilities:
- Greet and welcome customers and visitors in a friendly and professional manner.
- Answer incoming phone calls, address inquiries, and redirect calls to appropriate personnel.
- Schedule and confirm appointments for pest control services, ensuring efficient routing and optimal use of technician time.
- Maintain and update customer records in the database.
- Process payments, issue receipts, and handle billing inquiries.
- Assist with administrative tasks such as filing, photocopying, and data entry.
- Manage office supplies inventory and place orders as necessary.
- Handle incoming and outgoing mail and deliveries.
- Collaborate with technicians to ensure smooth scheduling and service delivery.
- Provide information about services, pricing, and company policies to customers.
- Handle customer complaints or issues and escalate them to management when necessary.
- Monitor and respond to email inquiries promptly.
- Prepare and distribute daily schedules to technicians.
- Follow up with customers post-service to ensure satisfaction and address any concerns.
Qualifications:
- High school diploma or equivalent.
- Proven experience as a receptionist, scheduler, customer service representative, or in a similar role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Familiarity with office equipment (e.g., printers, fax machines).
- Ability to work independently and as part of a team.
- Professional appearance and attitude.
