JOB TITLE: Finance Assistant
DEPARTMENT: Finance
REPORTS TO: Director of Accounting
FLSA STATUS: Non-Exempt
EMPLOYMENT STATUS: Fulltime 12 months
MINIMUM JOB REQUIREMENTS:
Education: High school diploma or GED; entry level college accounting coursework preferred
Experience: Minimum 2-3 years in basic accounting, bookkeeping or banking
Skills: Demonstrated ability in Windows based software, excellent customer service, high attention to detail, strong problem solving and organizational skills, tracking budget expenses, analyzing information, vendor relationships, data entry skills, general math skills.
ESSENTIAL JOB FUNCTIONS: These statements are intended to describe the responsibilities assigned to this position and are not intended to represent an exhaustive list of all responsibilities, duties and skills required.
1. Reconciles and processes invoices, purchase orders, approvals, and receipts of products/services in accordance with Oklahoma statutes and district policies before making payments.
2. Pays vendors by scheduling and preparing checks/electronic payments’ resolving purchase order, contract, invoice, or payment discrepancies and documentation, insuring credit is received for outstanding memos.
3. Maintains purchase order, invoice, and related backup document files that conform to State Audit requirements.
4. Investigates and resolves problems associated with processing of invoices and purchase orders. Performs daily follow-up on accounts payable communications and issues requiring special or urgent attention.
5. Provides customer service and support to internal departments with respect to various accounts payable and related accounting inquiries; serves as liaison between departments and vendors in the resolution of problems and inquiries.
6. Communicates and follows up with vendors to resolve issues and determine methods for expediting problem payments.
7. Analyzes and manipulates data and prepares standard and ad hoc reports as required.
8. Responsible for all financial accounts within accounts payable as assigned; reconciles accounts.
9. Maintains comprehensive and easily accessible files for yearly accounting audit.
10. Prepares routine correspondence, reports, forms, and other documents upon request.

ATTENDANCE STATEMENT:
Able to be in attendance for assigned work schedule with 95% minimum attendance.
ENVIRONMENTAL CONDITIONS:
Work is performed inside in a computerized office environment with minimal exposure to extreme environmental conditions or hazardous materials/equipment.
