Position Overview
We are seeking a highly organized and proactive Administrative Executive Assistant to join our team. The ideal candidate will be a versatile professional capable of handling a wide range of administrative and executive support tasks. This role requires someone who can efficiently manage responsibilities, from customer service support to assisting with executive tasks, ensuring smooth operations and effective communication within the company Monday - Friday 9:00AM - 6:00PM
Key Responsibilities
- Customer Service Support: Act as a backup to customer service, assisting with inquiries, resolving issues, and providing exceptional support to our largest customers.
- Accounting Functions: Perform basic accounting tasks, including invoicing, expense tracking, and reconciliation.
- Report Building: Create and maintain various reports to support management in decision-making processes.
- System Support: Assist customer service personnel with tasks they lack permissions for within our systems.
- Administrative Tasks: Handle filing, scheduling, and organizing executive calendars and meetings.
- Hiring and Onboarding: Support the hiring process, including interviewing and onboarding new employees.
- Competitive Price Checking: Conduct market research to ensure our pricing remains competitive.
- Special Projects: Assist with various special projects as needed, demonstrating flexibility and adaptability.
- Email Management: Monitor executive emails during their absence, ensuring timely responses and prioritizing critical communications.
- General Support: Provide general administrative support to the executive team and other departments as needed.
Qualifications
- Education: High school diploma or equivalent required; Associate's or Bachelor’s degree preferred.
- Experience: Minimum of 3 years of experience in an administrative or executive assistant role.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Basic accounting knowledge and experience with accounting software.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
