Brooke Sipe Interiors is looking for a hard-working, upbeat individual to lead all duties relating to residential product and material ordering, tracking, bookkeeping and reconciling. In office training required, with flexibility and opportunities to work remote. Pay is hourly, commensurate with experience. Benefits can be discussed.
General
- Manage procurement and expediting for multiple projects on a daily basis and communicate effectively with team and clients regarding product status
- Ability to prioritize orders to meet deadlines and provide high quality, prompt service to clients
- Responsible for all bookkeeping tasks relating to company operations and cost of goods sold.
- Product receiving, inspection, and organization
- Coordinate and participate in residential interiors design installations
- Ability to work well under pressure, juggle and prioritize multiple projects and adjust work accordingly
- Excellent verbal and written communication skills
Qualifications:
- Experience working in the home/design industry (or a strong personal interest) preferred
- Extremely well organized and attentive to detail
- Computer and software literate - MS Excel, MS Word, Gmail required. Bonus if familiar with Studio Designer, Canva, Dropbox, and Asana.
- Obsessed with providing an incredible customer experience
- Ability to lift up to 50 lbs. and be on your feet for a significant portion of the day
- Regular access to a reliable vehicle for making deliveries/running errand
- Ability to travel on occasion
- Comfortable and knowledgeable enough to offer solutions and feedback on company processes to increase efficiency or better our systems as we grow
Responsibilities Include:
Admin
- Pay invoices and manage open invoices, pay vendor bills and organize receipts/documentation
- Updating various company documents
- Manage client feedback/testimonials at end of projects
- Assist in setting up meetings and networking events
- Development of new company procedures and internal systems.
- Contribute to office activities, initiatives and learning programs
- Assist with developing and reviewing project audits by pulling from internal database
- Prepare client agreements, invoicing, setting up consultation paperwork and client folders
- Manage client experience and vendor relationships
- Prepare and deposit check payments, run transaction reports
- Track client invoices and ensure funds are allocated to correct accounts
- Calculate and reconcile of purchased products
- General office maintenance, upkeep and ordering of supplies
Procurement / Expediting / Logistics
- Manage client product orders and communicate status to team
- Update internal PO’s and pull spreadsheets to track ETA’s and extended leads as well as actual pricing
- Communicate and coordinate with a variety of vendors/contractors/service providers
- Coordinate with consultants, furniture dealers, product reps, and fabricators to meet overall project objectives
- Supervise and direct vendors and suppliers
- Establish new trade accounts with vendors and update internal system with new information
- Schedule and organize installations with receiver warehouse and assist with installations
- Pickup and drop-off materials/products, and run errands weekly as needed
- Maintain client product inventory and storage
- Receive products delivered to studio and update/maintain project management software.
- Coordinate with vendors on damaged or incorrect goods; Follow up on claims
- Track decor spending for client projects and studio inventory
- Maintain receiving/storage area, pull client product as needed for installations.
Design Support
- Coordinate with consultants, furniture dealers, product reps, and fabricators to meet overall project objectives
- Order samples and coordinate returns
- Maintenance of materials library
- Schedule meetings with clients throughout design process including mood board and measurements, trade days, and final presentations
- Work with designers to estimate project warehousing and QC client invoices prior to design presentations.
- Assist designers with obtaining quotes, suggesting alternative vendors, and investigating shipping information.
- Add products to design library
- Assist on Project Photoshoots
