- Provide support to site management and staff, including but not limited to managing calendars, coordinating & scheduling appointments, meetings & conferences, and screening incoming calls.
- Must be able to process purchase orders (P.O.’s) and processing of invoices as directed.
- Working with Procurement processing requisitions, purchase orders, and completing monthly accruals.
- Working Accounts Payable and receiving invoices in a timely manner.
- Assist with compiling presentations, reports, and special projects as assigned by the management team.
- Experience binding and printing materials needed to assist with consolidating site documents.
- Organize internal meetings for managers including scheduling/order food/refreshments as needed.
- Coordinate and assist in gathering information as required using sound judgement in determining priorities.
- Ability to multi-task.
- Handle sensitive information in a confidential manner.
- Other duties as assigned.
Requirements
- Ability to work in Microsoft Office suite with advanced knowledge of both Excel, Word, and PowerPoint, including experience in creating PowerPoint presentations and Excel spreadsheets.
- Ability to work in a dynamic, complex, fast paced environment, to adapt quickly and to manage changing priorities; capable of working in a high-pressure environment.
- Highly organized with attention to detail.
- High level of integrity, ethics, and professionalism; discrete in dealing with information of a sensitive and confidential nature.
- Professional, energetic attitude with excellent communication and interpersonal skills.
- Associates degree preferred or equivalent job experience; minimum five (5) years as an administrative assistant.
- Experience managing multiple calendars, on basis of vacation, out-of-office, etc.
- Experience working with Accounts Payable and Procurement, an understanding of project payments when coding purchase orders.
- Strong working knowledge of Microsoft Office Suite and Work Management software are required. Comfortable with learning new technologies and software.
