Description
The Collections Information Assistant works with the Senior Manager of Collections Information in the Museum’s TMS (The Museum System) database. This position supports the work of the Registration and Collections Management, Curatorial, and Conservation departments, meeting the high standards set for collections care.
Qualifications
- Previous experience with TMS or other museum collections database, and familiarity with museum registration procedures
- Bachelor’s degree in art, art history, museum studies, library science, or computer science, or one year of related work experience
- Ability to perform accurate data entry, meticulous attention to detail, and excellent organizational and recordkeeping skills
- Experience with digital asset management and updating media metadata
- Visual acuity, including an ability to read a variety of handwritten and typewritten documents
- Ability to meet deadlines, follow editorial and format guidelines, and focus on detailed work in a fast-paced, open-office environment
- Excellent grammar, spelling, and punctuation
- Ability to work well independently and with others on complex research projects and object numbering issues
Preferred skills
- Knowledge of SQL programming language, MS SQL Server Management Studio, and Excel
- Experience with Crystal Reports and SSRS
- Familiarity with NetX
Responsibilities
- Make daily updates to object and location information in the collections database per the Museum’s format guidelines
- Review and maintain media records in TMS, including media linking and metadata standardization
- Provide support for Conservation department; assist with condition report–related documentation in TMS
- Provide technical support and assistance to staff users of TMS and Crystal Reports
- Provide TMS training for staff and interns
- Assist with TMS-related recordkeeping; participate in the development of data entry guidelines and procedures
- Support data clean-up projects to standardize information per format guidelines
- Assist with maintaining in-house exhibition rotation records in TMS on an as-needed basis
- Other database and technology-related projects as assigned
