Job Title: Administrative Assistant
Job Summary: We are looking for an experienced and organized Administrative Assistant to provide administrative and support functions in support of The Greater Dayton Regional Transit Authority (GDRTA). This role requires strong communication, organizational skills, and the ability to manage various tasks in a fast-paced environment. The ideal candidate will be able to work independently, handle confidential information, and support the overall goals and mission of GDRTA.
Position Duration:
Position duration may be anywhere from two months to six or more months. Temp to hire opportunities may also be available.
Key Responsibilities:
- Provide administrative support to the Director and other staff members as assigned.
- Type, edit, and organize work using word processing programs (e.g., Microsoft Word, Excel) to create correspondence, reports, meeting agendas, minutes, etc.
- Maintain and manage internal and external communications, coordinating visitor activities and sending internal notifications as needed.
- Respond to both internal and external customer inquiries, processing them in accordance with departmental procedures.
- Process grievances and schedule hearings and meetings as required.
- Sort, distribute, and assist with incoming mail, faxes, and mailings.
- Prepare and process reports, spreadsheets, and other necessary documents.
- Manage departmental office supplies and coordinate travel arrangements.
- Process time sheets, procurement requisitions, and coordinate billing procedures for invoices.
- Answer and screen telephone calls, taking messages, providing information, and redirecting calls as needed.
- Maintain and schedule appointments, meetings, and records, and update the departmental calendar.
Qualifications:
- Associate's Degree or equivalent training with specialized courses in typing, word processing, and office computer programs.
- 3-5 years of experience in administrative support at an executive level.
