We are currently seeking a detail-oriented and organized Construction Contract Administrator to join our team. In this crucial role, the individual will support the efficient execution of construction contracts, ensuring compliance with contractual obligations, and maintaining accurate project documentation. This position requires excellent communication skills, a strong understanding of construction processes, and the ability to work collaboratively with the project team and various stakeholders to ensure the smooth and efficient execution of construction projects.
Primary Responsibilities:
- Manage the preparation, review, and administration of construction bids and contracts.
- Maintain an organized system for tracking contract documents, amendments, and revisions.
- Ensure compliance with contractual terms and conditions.
- Facilitate communication between project stakeholders regarding contract requirements.
- Manage and organize project documentation, including bids, contracts, drawings, specifications, permits, and correspondence.
- Assist in obtaining necessary permits and approvals.
- Create and maintain a filing system for easy retrieval of project-related information.
- Coordinate with project teams to collect and update necessary documentation.
- Act as a liaison between the project team and external stakeholders, including subcontractors, vendors, and legal professionals.
- Communicate contract-related information to relevant parties.
- Assist in the resolution of contractual issues and disputes.
- Monitor compliance with contractual obligations and deadlines.
- Collaborate with project managers to track and report on project milestones.
- Assist in the preparation of reports for internal and external use.
- Maintain accurate and up-to-date records of project-related documents.
- Support audits and reviews by organizing and presenting relevant records.
- Generate and distribute monthly reports for Senior Management Team.
- Performs other related duties as assigned.
Required Skills:
- Proven experience in contract administration or a similar administrative role.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and project management software.
- Familiarity with construction contracts, terminology, processes, and documentation.
- Ability to work collaboratively in a fast-paced construction environment.
- Ability to work independently, prioritize, and meet deadlines.
- Positive attitude and strong interpersonal skills, capable of working effectively in a team environment.
Education and Experience:
- Associate or Bachelor's degree in Business Administration, Finance, Construction Management, or a related field preferred.
- At least three (3) to five (5) years of related experience in an administrative role.
- Experience within the construction industry.
- Experience with Procore.
