Summary:
We are seeking a proactive and organized self-starter to effectively manage and coordinate operational resources within the Controls Service Department at Brooks Building Solutions. This role involves collaborating with Field Technicians and Project Managers to ensure efficient job execution, timely service delivery, and high-quality customer service.
Location: We will consider candidates from both Jacksonville and Miami, FL.
Pay Range:
- Jacksonville: $45,000-$55,000
- Miami: $58,000-$71,000
Responsibilities:
- Receive, log, and prioritize service requests, gathering necessary information and working with the PEG team to decide if a truck needs to be dispatched.
- Assign and dispatch service technicians, ensuring timely service and providing updates on status and arrival times.
- Act as a liaison between customers and technicians, addressing issues or changes, and ensuring technicians have necessary information and resources.
- Monitor and track service calls, ensuring completion within the required time frame.
- Maintain and update technician schedules and track job progress.
- Oversee and monitor contracted Preventative Maintenance (PM) schedules and progress.
- Generate and distribute service reports, summaries, and documentation, ensuring compliance with company policies.
- Provide excellent customer service, resolve inquiries, and follow up for satisfaction.
- Participate in training activities to enhance skills and service knowledge.
- Coordinate logistics (e.g., per diem, hotels) for PM or service calls as needed.
- Approve service technician payroll and handle contract monthly billing.
Admin Responsibilities:
- Maintain organized, accurate records of service requests and activities.
- Track equipment and parts used in service calls and assist with inventory management.
- Ensure timely invoicing and resolve billing discrepancies, including following up with accounts receivable.
- Assist in preparing service reports, invoices, and contract billing.
- Collaborate with sales to deliver PM reports to customers and provide proposals for additional work.
Qualifications
Requirements:
- Education & Experience: High school diploma or equivalent; additional education or training in business administration or a related field is a plus. Previous experience in dispatching, customer service, or a related field is preferred.
- Technical Proficiency: Proficiency with dispatch software (e.g., Jonas), scheduling tools, and other relevant computer applications.
- Strong Organizational & Multitasking Skills: Ability to manage multiple tasks simultaneously, prioritize service requests, and maintain accurate documentation and schedules.
- Effective Communication: Strong verbal and written communication skills to effectively collaborate with multidisciplinary teams, interact with clients, and provide clear service updates.
- Problem-Solving & Decision-Making: Ability to make quick, effective decisions in a fast-paced environment and resolve issues as they arise.
- Attention to Detail: Accuracy in documentation, scheduling, and record-keeping, along with a strong focus on quality control and customer satisfaction.
- Adaptability & Independence: Ability to work independently, handle stressful situations, and adapt to changing priorities while maintaining high standards of service.
