Employees in this job classification are responsible for ensuring the effective and timely flow of mail and parcels between departments, campuses, and college sites from inside/outside carrier sources. Performs other related work as directed.
Minimum Education
- High School diploma or GED required.
- Two or more years of relevant experience in Records Management / Mailroom Operations, in a high volume mail distribution operation. Be trained in USPS, UPS and FedEx procedures.
- Valid Florida Driver's License required.
- Daily - 30%: Coordinates, assigns and reviews work engaged in the retrieval, delivery, sorting, accounting, and distribution of mail, special delivery and parcel items college wide.
- Daily - 20%: Schedules and supervises courier pick-up services and deliveries and may assist in performing general mail processing duties during high volume periods or in response to established processing deadlines.
- Weekly - 20%: Coordinates and processes college bulk mailings in accordance with college procedures and U.S. Postal requirements for accurate and timely dispatch
- Monthly - 5%: Prepares refunds on mail processed by damaged meter machines and records and processes monthly mail service billings.
- Monthly - 5%: Assists in gathering data for budget preparation, prepares departmental reports and keeps related records.
- Monthly - 10%: Ensures the accurate accounting and financial reporting of mail processing operations; oversees the maintenance of sufficient processing materials and supplies.
- Daily - 10%: Performs related duties as assigned.
- Ability to operate moderately complex machinery (i.e. Computerized Postage mail machine).
- Possess "attention to detail" skills.
- Ability to train, motivate and mentor; follow written and verbal orders; plan, prioritize and assign work; understand and follow
- Fluency with Microsoft Office, specifically Excel.
- USPS, UPS, FedEx rules and procedures.
- Ability to work with a diverse population of students, faculty and staff
- Ability to operate a motor vehicle required.
