Position Summary
Our Private Client team delivers highly customized and comprehensive service to our clients. As a key member of this team, the Private Client Relationship Associate/Administrative Assistant will execute on a wide range of tasks while maintaining proactive account administration. The Private Client Relationship Associate/Administrative Assistant will follow the firm’s best practices to ensure that all client-related activity is completed in a prompt, accurate, and thorough manner. Additional responsibilities include workflow coordination with the broader client-facing team related to clients’ investments, estate planning, and account administration, and well as administrative support.
The primary duties and responsibilities include but are not limited to:
- Partner with key internal stakeholders within Client Service, Operations, Private Investments, Portfolio Management, Strategic Advisory, and Compliance to provide comprehensive day-to-day account administration for clients.
- Proactively perform daily transaction reconciliation for all accounts, working in portfolio management platform, as well as circulation and confirmation of capital calls and distributions, and completion of subscription documents.
- Coordinate with managers, custodians, and accountants to collect, organize and distribute various tax documentation, statements, and bank reports.
- Maintain CRM contact records, meeting activity, and sales pipeline for clients and prospects.
- Process mail and arrange for FedEx/messengers, receipt and deposit of checks.
- Organize client communications, i.e. donation receipts, files, etc.
- Manage calendar for senior members of the team, and assist with booking travel and submitting expenses.
- Complete administrative, operational, and ad hoc client-related projects as needed.
Qualifications:
- Bachelor’s required; degree in Finance or Business preferred
- 3 years experience preferred; financial services industry experience a plus
- Proficiency with M.S. Office suite including Excel, Word & PowerPoint
- Experience working in Salesforce and Addepar a plus
- Strong quantitative, analytical, and interpersonal skills
- Highly organized work style; detail-oriented and accurate
- Ability to multi-task and adapt to changing priorities to meet team demands
- Collaborative team-player; self-motivated with a strong work ethic
- Demonstrates tact, discretion and good judgement in handling sensitive and confidential information
- Proficiency in leveraging systems and processes to execute activities with accuracy and efficiency
- Exhibits excellent communication skills, both verbal and written
- Eager to contribute and learn, ask questions and provide solutions
- Ability to work in Washington D.C. office location
Salary: $65-$82k. Commensurate with experience and location. Does not include bonus or long term incentive eligibility (if applicable).
