Job Description:
We are seeking a highly organized and dependable Administrative Assistant with 3-5 years of experience in the construction industry, specifically with American Contractor software. The ideal candidate will be detail-oriented, have the ability to multitask effectively, and possess strong communication skills. This full-time role offers regular hours from 7:00 AM to 4:00 PM, Monday through Thursday with possible Fridays.
Key Responsibilities:
- Provide comprehensive administrative support to our project teams and management staff.
- Organize and maintain schedules, appointments, and meetings for team members.
- Manage incoming communications, including phone calls, emails, and internal correspondence.
- Assist in preparing and maintaining documentation, contracts, and reports related to guardrail construction projects.
- Coordinate project timelines, track deliverables, and monitor progress.
- Help with invoicing, billing, and maintaining accurate financial records.
- Order and manage office supplies, ensuring a well-organized work environment.
- Serve as a liaison between clients, contractors, and internal teams.
- Perform general office duties such as filing, data entry, and maintaining office organization.
Qualifications:
- 3-5 years of experience using American Contractor software, preferably in the construction or guardrail sector.
- Strong organizational skills with the ability to handle multiple tasks at once.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience in the construction or guardrail industry is preferred but not required.
- High school diploma or equivalent required; additional education or relevant certifications are a plus.
