This role is responsible for enhancing the firm’s brand through planning and execution of client events and industry conference participation – mostly in the US but also providing some support/coverage for European activity as needed - and is pivotal to the successful delivery of BBH Inserv’s Marketing strategy.

The role involves supporting the London-based Global Head of Conference & Events, Marketing Managers, and working with global business leaders, clients, prospects, and external vendors to successfully execute the Inserv global event and conference strategy in a dynamic, fast paced environment.

The role requires excellent attention to detail, the anticipation of project needs, prioritizing work based on business requirements, meeting deadlines with little supervision and management of the budget. Providing outstanding client service is essential, as is an energetic and enthusiastic character, with strong interpersonal skills able to build relationships with internal and external clients and vendors globally.

This role must build strong relationships with the firm’s senior management teams, and marketing and events professionals, to generate consensus around event themes/ideas/programs, to ensure appropriate levels of attendance and to measure and report on ROI to improve future activity.

Responsibilities

  • Plan, organize, and execute memorable & unique BBH events in North America. This includes but not limited to hospitality events i.e., receptions, experiential activities, and content events i.e., seminars, roundtables, and webinars.
  • Manage the end-to-end event process, from conceptualization to post-event analysis and reporting, with appropriate guidance from the Global Head of Conferences & Events
  • Collaborate with the Marketing Managers and business teams to understand scope of work and agree event objectives and KPIs.
  • Support the Marketing Managers as they develop and implement marketing and promotional strategies for events.
  • Create and manage event timelines and project plans including the event budget ensuring cost-effective planning and execution by working closely with US Enterprise Services’ Event Planning team as required.
  • Conduct site visits and onsite management of events in BBH offices and at external venues where necessary.
  • Work closely with Creative Services, Marketing Analysts and Marketing Operations to manage the invitation process.
  • Oversee the delivery of virtual events, either through direct ownership of execution or through support of Marketing Operations colleagues to deliver high-quality, consistent virtual experiences.
  • Demonstrate operational expertise in all BBH’s chosen webinar platforms.
  • Collaborate with colleagues in BBH Systems, and other appropriate functions, to ensure the optimum use of available webinar technologies, e.g. Zoom.
  • Be focused on innovation in event delivery, supported by external best practice examples, and promoting the adoption of new approaches amongst Marketing and RE leadership community.
  • Stay updated on industry trends and best practices to continually improve our events.
  • Support the Global Conferences & Events Manager and work with the global Marketing Managers to continually develop the Investor Services Industry Conference participation program.
  • Critically assess conference sponsorships and attendance as part of an integrated Marketing Communications plan. This includes post industry debriefs and analysis on our conference participation and any associated activation.
  • Manage relationships with conference and other event vendors, ensuring optimum representation of BBH presence at events.
  • Support the Marketing Managers in seeking out new and relevant conferences where the business teams should be present, in line with agreed Marketing strategy goals for each business area.
  • Create and manage event timelines and project plans to ensure all sponsorship deliverables are met.
  • Work closely with Marketing Operations to manage vendor onboarding and contract process.
  • Help assess how our competitors are participating in conferences to ensure that we can be as differentiated as possible in our conference participation and activation.
  • Contribute to and help administer the global conferences and events calendar, ensuring all information is up-to-date, based on stakeholder input.
  • Drive internal awareness of the event program through regular in-person and online communications, e.g. email announcements, Seismic, Chatter etc.
  • Act as a subject matter expert in event and conference best practice to the Investor Services business, providing support for internal events as time and resources allow and as appropriate.
  • Ensure accurate capture of conference and event details in project management software, including but not limited to forecast/actual spend, delegates and speakers and dates.
  • Create and manage required event and conference campaigns and reports in Salesforce. Work with business stakeholders and Marketing Managers to ensure contacts are added as appropriate, e.g. invitation lists.
  • Capture actionable external and internal feedback from all Tier 1 activities.
  • Contribute to the communication of findings to stakeholders and own the creation of relevant action plans or decision making in response.

Requirements

  • BS/BA degree required and/or equivalent work experience
  • Some relevant event management experience, ideally in Financial Services or similar professional/B2B environment, is preferred
  • Prior marketing experience is a plus
  • Ability to multi-task; managing multiple projects and work assignments, all with great attention to detail and budget
  • Strong organizational skills and work ethic – is proactive, takes initiative and assumes responsibility
  • Excellent communication skills, verbal and written
  • Detail oriented with a proven ability to see issues through to resolution
  • Ability to interact in a professional manner at all levels, both internally and externally
  • Experience of working globally, across time zones
  • Team player but also able to work independently with little supervision
  • Energetic with a positive, can-do attitude
  • Quick learner, able to juggle priorities and tasks and troubleshoot while maintaining an up-beat, positive personality
  • Good knowledge of PowerPoint and Excel required
  • Experience in the following Marketing/Event automation tools a strong advantage: Marketo, Monday.com, Salesforce, Seismic
  • Language requirements: must be fluent in English.
  • Willingness to work outside of traditional hours and travel when events require.
