Position Overview:
The Office Manager is responsible for providing administrative support to other departments, including Sales, Accounts Payable, Accounts Receivable, HR, Operations and Purchasing. In addition, the Office Administrator answers incoming calls, files, handles mailings, greets visitors and directs them appropriately and maintains security/telecommunications systems. The Office Assistant should have strong computer, data entry and 10-key skills. Excellent communication skills and customer service are a must.
Key Responsibilities:
Reception/Administrative/Clerical (80%)
- Provide general administrative and clerical support to all departments, including Operations, Sales, Finance & Accounting, Purchasing, and Human Resources, utilizing MS Word, Excel, and Outlook.
- Answer, screen, and direct calls on a multi-line phone system.
- Plan and organize office events, including office parties and team-building activities.
- Scan, match, and organize proof of deliveries, bill of ladings, and accounts payable documentation.
- Maintain inventory of office supplies, reorder when necessary, and distribute supplies to the appropriate departments.
- Notarize documents (if certified as a notary).
- Organize, file, and maintain records following company protocols.
- Manage the distribution of incoming and outgoing mail.
- Prepare and log incoming and outgoing shipments via FedEx and UPS.
- Draft, prepare, and proofread letters, documents, and correspondence.
- Organize and schedule meetings and appointments for staff.
- Maintain a welcoming and professional reception area for clients and visitors.
- Take and relay messages accurately and promptly.
- Respond to inquiries from the public, customers, and colleagues with professionalism.
- Performs other duties as required
Credit/Financial Support (20%)
- Process credit card transactions and handle related tasks with accuracy.
- Assist with clerical duties related to job sheet processing and other finance-related documentation.
Qualifications & Skills:
- High school diploma or equivalent required; 3-5 years of administrative experience preferred.
- Strong telephone skills and knowledge of administrative and clerical procedures.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of customer service principles and practices.
- Excellent verbal and written communication skills.
- Professional appearance and presentation.
- Customer service orientation with a focus on providing helpful and efficient service.
- Strong organizational and planning skills.
- Attention to detail and accuracy in tasks.
- Initiative and the ability to work independently.
