Job Summary
Ontario Center is seeking a dedicated and organized Administrative Assistant to support our Operations & Sales Manager and contribute to the efficient operation of the mall’s management office. This role is ideal for a proactive, detail-oriented individual who excels in a fast-paced environment and has strong communication and organizational skills. The Administrative Assistant will be responsible for handling day-to-day administrative tasks, coordinating mall operations, and providing excellent support to both mall management, tenants, and the public.
Key Responsibilities
- Administrative Support
- Assist with daily tasks, including calendar management, scheduling appointments, and coordinating meetings.
- Handle general correspondence, emails, phone calls, and other communications.
- Prepare and edit documents, reports, and presentations for management and tenant communications.
- Office Management
- Maintain an organized and welcoming office environment for mall staff, tenants, and visitors.
- Order and manage office supplies, ensuring all necessary resources are available.
- Handle mail, deliveries, and filing, ensuring documents are stored and accessible as needed.
- Tenant and Customer Relations
- Act as a liaison between tenants and mall management, addressing tenant questions, concerns, and requests promptly and professionally.
- Assist in coordinating tenant communications, such as newsletters, announcements, and events – including the use of social media platforms.
- Support the planning and organization of tenant events, promotions, and other mall activities.
- Financial and Record Keeping
- Assist in tracking and managing invoices.
- Assist in maintaining accurate records, including tenant leases, contracts, and mall maintenance logs.
- Operations Coordination
- Assist in tracking and following up on maintenance requests, repairs, and mall inspections.
