Responsibilities:
- Patient facing during all business hours. Welcome patients, enter patient information into EMR, take vital signs, document patient care and organize patient documents.
- First line response to patient symptom/sick calls during business hours in real-time, triage and alert physician, per office policy.
- Review electronic communication from patients via EMR/Spruce portals and provide prompt response.
- Communicate with outside medical offices and providers, as needed.
- Complete prior authorizations and insurance/pharmacy inquiries.
- Fulfill medication refills requested via EMR/portal app, phone or in-person; promptly handled, same business day. Follow up directly with patients and pharmacies, as needed.
- Collect, track and ensure completion of patient forms.
- Complete office point of care testing- UA, strep, flu, etc. Prepare samples for the outside lab and coordinate outside lab pickup.
- EKG administration.
- Vaccine administration.
- Blood draw.
- Manage all office supply inventory, ordering and room stocking. Coordinate delivery with vendors. Shared responsibility along with the office manager.
- Maintain functionality of medical equipment in office.
- Act as chaperone for sensitive exams, as needed.
- Clean/change over rooms between patients. Light end of day cleaning in patient exam rooms; wipe down exam table and room surfaces, sweep floor.
- Maintain patient confidentiality and HIPAA compliance at all times.
- An adjustment in job duties may be necessary, from time to time, based on the practice’s needs. Changes will be discussed between both parties.
Education and Certification:
- High school diploma or equivalent (required)
- Current CPR/BLS certification (required)
- Phlebotomy certification (required)
- 5 years experience minimum
- Medical Assistant certification (e.g., CMA, RMA, CCMA, or NCMA) preferred

- Excellent verbal and written communication skills
Professional Skills
- Highly structured and organized with keen attention to detail
- Familiarity with Electronic Medical Records (EMR) systems, such as Epic, AthenaHealth, or similar
- Familiarity with Microsoft Office Suite (word, excel, outlook)
- Experience in handling patient communications via portals, phone, or secure messaging systems
- Punctual and reliable
Technical Skills
- Proficiency in taking vital signs and documenting patient care
- Ability to perform point-of-care testing (e.g., UA, strep, flu) and prepare lab specimens
- Vaccine and EKG administration experience
- Knowledge of prior authorizations, insurance workflows, and medication refill protocols
Physical Requirements
- Ability to stand, walk, and move between exam rooms for extended periods
- Capability to lift and move equipment (up to 25 lbs) as needed
