Description
- Manages all nursing department schedules and ensures the Master Schedule is up to date with all information in the timelines specified as directed by the Assistant. Director of Nursing.
- Manages staff time-off requests following departmental and company policies.
- Ensures adequate staffing levels are maintained and coordinates schedule changes by locating alternative resources as needed.
- Resolves scheduling issues with staff members. Request assistance from leadership when needed.
- Prepares and distributes “draft” schedule for the following month to employees by the 10th of the current month; then completes final schedule by the 25th or other timelines as may be adjusted by the ADON.
- Reviews staff attendance sheets with the Assistant. Director of Nursing by the Thursday of each week.
- Ensure PRN (as needed) staff receive calendars by the 1st of each month, and PRN calendars are completed properly and turned in by the 10th of the month or other timelines as may be adjusted by ADON.
- Resolves any conflicts with schedule changes before final shift distribution.
- Completes daily staffing sheets for the upcoming month and makes them available for staff to cover open shifts. Compare daily staffing sheets to schedule to ensure accuracy
- Collects shift change request forms and verifies their accuracy and compliance with guidelines.
- Routinely coordinates with payroll to ensure the biweekly payroll is accurate, resolves missed punches and other time keeping issues and ensures timecards reflect proper shift differentials.
- Evaluates Payroll Based Journal for accuracy.
- Serves as a floor nurse to fill open staffing needs.
- Ensures agency staffing is tracked weekly, and billing is correct before submission for payment.
- Reviews of tardiness and absence reports, and records on staff members’ attendance records.
- Prepare confidential summary reports of audits and distribute them to the Nurse Managers.
- Handles all residents' Protected Health Information (PHI) in a confidential, private, and secure manner.
- Assists recruiter in hiring processes as necessary to include but not limited to the following:
- Screening candidates
- Attending job fairs or other recruitment activities
- Managing interview scheduling efforts based on needs.
- Manages communication amongst households assigned, ensuring timely and accurate information is delivered to appropriate parties.
- Works directly with the Assistant Director of Nursing to ensure that all New Hires receive proper orientation and training.
- Ensure all newly hired CNAs are properly trained and have completed their skills checklist prior to assigning them to a household.
- Performs other duties as assigned by the Supervisor.
Qualifications
EDUCATION AND EXPERIENCE:
Required:
- Ability to work in a fast-paced team environment.
- Excellent written and verbal communication skills
- Highly proficient with scheduling and other office technology
- Working knowledge of skilled nursing regulations, a plus
- Flexibility with last-minute changes
- Ability to utilize scheduling software, Excel, and email communications
- Licensed Vocational Nursing License in good standing
Preferred: Proficient in speaking and writing Spanish
Associate’s degree in nursing or a health-related degree
EQUIPMENT AND COMPUTER OPERATIONS: Computer knowledge is essential, as well as the ability to operate general office equipment such as copier, telephone, and fax. Training will be provided to familiarize the incumbent with work-related equipment to ensure safety and proper operation during use.
