As a Senior Executive Assistant to CEO, you'll provides comprehensive administrative support to the President and Chief Executive Officer (CEO), Chief Operating Officer (COO), and Chief Health Services Officer (CHSO) of Blue Skies of Texas. This role also supports the Boards of Directors by coordinating meetings, preparing agendas, maintaining official records, and ensuring timely communication. The Executive Assistant serves as a central point of contact for internal and external stakeholders, often representing executive leadership in correspondence and scheduling. This position requires a high degree of professionalism, trust, and discretion, as well as the ability to manage sensitive and confidential information with integrity. The ideal candidate demonstrates exceptional organizational, communication, and time management skills, while exercising sound judgment in a fast-paced environment
WHAT YOU WILL DO IN THIS ROLE:
- Assists the President, CEO, COO, and CHSO in maintaining liaison with Board members, residents, staff, and both military and civilian communities.
- Serves as the focal point for Blue Skies of Texas Board of Directors and committee meetings; prepares and distributes meeting notifications, agendas, supporting materials, and correspondence. Attends and records minutes for all Board and committee meetings, maintaining organized records of these minutes.
- Serves as the custodian for Board bylaws, Articles of Incorporation, governance documents, and policies.
- Assists the CEO in developing and implementing the Blue Skies of Texas Strategic Plan.
- Provides administrative support to corporate executive directors and boards as needed.
- Prepares and reviews correspondence on behalf of the Chairman of the Board.
- Manages calendars, mail, correspondence, and reports for the President, CEO, COO, and CHSO professionally and efficiently.
- Schedules and coordinates use of the corporate boardroom, ensuring necessary arrangements for meetings.
OTHER DUTIES:
- Manages executive and administrative phone calls and visitors with professionalism.
- Accurately prepares executive procedures, policies, minutes, and notices.
- Drafts correspondence for the Chairman of the Board, President, and other corporate officers.
- Distributes all general and administrative mail.
- Reviews and prepares administrative correspondence, obtaining necessary signatures.
- Orders office supplies for the executive team.
- Prepares and maintains the executive budget for office supplies, travel, and miscellaneous expenses.
- Performs additional duties assigned by the President, CEO, COO, or CHSO.
- Coordinates tours and luncheons for executive leadership.
- Acts as liaison for Resident Satisfaction Surveys.
- Maintains accuracy of Board Member informational materials (Board Book).
- Plans and coordinates annual Board holiday events.
- Prepares expense reports for corporate officers.
- Reconciles corporate credit card and point-of-sale charges.
- Arranges and coordinates Town Hall and State of the Village meetings.
- Codes and processes invoices for CEO, COO, and CHSO departments.
- Serves as Notary Public.
Qualifications
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIRED:
GENERAL REQUIREMENTS: Must effectively interact with residents, employees, supervisors, vendors, and the public, displaying strong interpersonal and supervisory skills. Requires a professional appearance and demeanor, initiative, independent decision-making, and the ability to analyze, interpret, and communicate information effectively.
EDUCATION AND EXPERIENCE:
Required: High school diploma or equivalent; college coursework preferred. Typing proficiency of 65 wpm, excellent phone skills, and proficiency in office equipment operation.
Preferred: Formal training in computer and office applications, a minimum of three years of experience supporting C-level executives. Familiarity with Board governance procedures and experience in senior living communities.
EQUIPMENT AND COMPUTER OPERATIONS: Must possess working knowledge of standard office equipment. General training provided to ensure safe operation.
CERTIFICATES, LICENSES, AND REGISTRATIONS REQUIRED: Must obtain and maintain Notary Public commission.
INTERNAL CONTROL: Responsible for efficient operations, safeguarding assets, and compliance with laws, regulations, policies, and procedures. Manages confidential information with discretion and sensitivity.
PHYSICAL/ENVIRONMENTAL DEMANDS: Primarily indoors in a climate-controlled office within Blue Skies of Texas facilities. May occasionally lift or move items up to 30 pounds, such as office supplies. Expect two-thirds of the workday to be seated and one-third walking within the facility. Travel between facilities required with mileage reimbursement provided. Minimal environmental hazards present; however, standard precautions against communicable diseases required.
WORK SCHEDULE: Regular hours: 8:00 a.m. – 5:00 p.m., Monday through Friday. Flexibility required for occasional evenings, weekends, and holidays as necessary.
WORK LOCATION: Primary office location is Blue Skies of Texas West campus; travel between facilities required.
ATTIRE/DRESS CODE: Professional, conservative business attire required. Refer to Employee Handbook for specific guidelines.
RANGE OF PAY: Dependent on qualifications and experience; competitive within market standards.
