Role Overview:
As a Billing Analyst, you will play a crucial role in facilitating the monthly billing cycle, ensuring timely and accurate invoicing while providing exceptional service to both internal and external stakeholders. Your primary responsibilities will include managing the distribution of prebills, resolving revisions efficiently, and finalizing invoices according to client preferences, discount arrangements, and billing guidelines.
Key Responsibilities:
- Facilitate the monthly billing cycle by managing prebills, addressing revisions promptly, and ensuring final invoices are accurate and compliant with client terms.
- Coordinate the delivery of client invoices, including direct mailing, emailing invoices with necessary attachments, or electronic submission.
- Respond to inquiries from attorneys, clients, and administrative staff related to billing matters, business reconciliations, and related information requests.
- Maintain a thorough understanding of client terms, attorney preferences, and discount arrangements to ensure proper invoicing.
- Demonstrate business acumen and professionalism when interacting with internal and external clients.
- Utilize firm-standard reporting tools to provide information as needed for internal and external client requests.
- Ensure adherence to firm/department procedures, outside counsel guidelines, and client-specific billing requirements.
- Support department and firm leadership with ad-hoc projects and requests, ensuring timely completion and accuracy.
Knowledge, Skills, and Abilities:
- Ability to operate in a fast-paced, time-sensitive environment while maintaining accuracy and attention to detail.
- Strong organizational skills, with the ability to prioritize tasks and manage workload effectively.
- Exceptional communication skills (both oral and written), with the ability to work confidently with senior attorneys and clients.
- Proficiency in Microsoft Word, Excel, and Outlook; experience with billing systems and law firm reporting tools is a plus.
- Demonstrated ability to think critically and solve problems creatively.
- Self-motivated, with a strong work ethic and the ability to work independently with limited supervision.
- Excellent customer service skills and a professional demeanor in dealing with clients and team members.
Qualifications:
- Bachelor’s degree preferred, or equivalent combination of education and/or experience in a billing or related role.
- Minimum of 2 years of prior billing experience or comparable experience, preferably within a law firm or professional services setting.
- Previous experience working with attorneys and clients in a global law firm environment is highly desirable.
