Buckeye Construction & Restoration is looking for a Preconstruction Coordinator to support our estimating team by managing bid preparation, document control, and subcontractor coordination. This is a fantastic opportunity to grow your skills in a fast-paced, collaborative environment.
DUTIES & RESPONSIBILITIES
Administrative Support for Estimating & Preconstruction:
- Manage document control for all active projects, ensuring bid documents, specifications, and plans are downloaded, organized, and saved in the correct folders.
- Prepare and complete front-end bid documents, including bid forms, prequalification questionnaires, and bond requests.
- Review bid forms and documents for accuracy and completeness before submission, ensuring compliance with project requirements.
- Maintain and update the company’s qualifications statement for bid submissions, ensuring accuracy, compliance, and relevance by collaborating with the Business Development department to incorporate recent project experience, certifications, and other key information.
- Maintain and update the estimating department’s data in the company’s CRM system, ensuring accurate bid tracking and reporting.
- Regularly update and maintain a bid tabulation sheet for all projects.
Bid Opportunity Review and Management:
- Monitor bid boards, bid invites, and other procurement platforms to identify relevant bid opportunities.
- Input new project leads into the CRM with all pertinent information for analysis by the preconstruction and business development teams.
- Maintain the bid opportunity calendar, including pre-bid and preconstruction meeting schedules.
Subcontractor and Supplier Management:
- Solicit subcontractor and supplier pricing for specific projects via email and phone, ensuring timely follow-up to secure competitive quotes.
- Build and maintain a robust database of subcontractors and material suppliers, categorized by region and trade.
- Track and encourage participation from MBE, WBE, EDGE, and other designated subcontractors and suppliers.
Estimating Support:
- Provide technical support to estimators, such as analyzing drawings, specifications, and preparing accurate material quantity takeoffs.
- Maintain a material pricing master log to ensure up-to-date cost data is available for estimators.
Weekly Reporting and Communication:
- Utilize CRM software to generate weekly estimating reports for internal team review.
- Compile and distribute bid progress updates, subcontractor outreach summaries, and bid result reports.
General Administrative Duties:
- Handle general administrative tasks for the preconstruction and estimating teams.
- Organize and update shared project documents to ensure accessibility for the team.
- Perform additional duties as assigned to enhance the efficiency of the estimating process.
TRAVEL REQUIREMENTS
- Occasional travel will be required to visit the company’s offices and deliver or submit bids as needed.
EDUCATION AND EXPERIENCE
- Experience: While a degree in Construction Management, Engineering, Business Administration, or a related field is a plus, it is not required. Relevant experience in construction, project management, preconstruction support, or business administration will be strongly considered.

Skills:
- Strong knowledge of Microsoft Office, particularly Excel.
- Familiarity with CRM software is a plus.
- Highly organized with strong attention to detail, capable of managing schedules, coordinating tasks, and assisting the team in staying on track to meet deadlines effectively.
- Communication: Excellent verbal and written communication skills.
- Work Environment: Ability to thrive in a fast-paced, team-oriented environment.
