JOB DESCRIPTION
Job Summary : This position is responsible for providing advanced level support and addressing all purchasing inquiries submitted to the business office. Responsibilities will include a variety of tasks that are assigned by the business office administrators.
Essential Functions :
- Provides support to the purchasing department and Supervisor of Procurement & Finance.
- Accurately inputs purchase order data into the financial system and generates purchase orders in a timely manner
- Maintains vendor codes with current information in the financial system.
- Requests W-9 tax information from vendors.
- Assists with all tasks related to the bidding process including data collection, document preparation, advertisement, bid opening, tabulation, and award.
- Creates and updates purchasing and bidding forms, templates, and related documentation.
- Drafts required board motions for purchasing activities.
- Fosters and maintains positive, professional relationships with vendors
- Provides exemplary customer service to vendors and LEA’s seeking information regarding purchasing and bids.
- Offers guidance and direction to Purchasing Analyst and Purchasing Clerk
- Maintains Bucks County Intermediate Unit tax information including current W-9 form and tax exemption certificate to provide to vendors as requested.
- Provides training to the organization related to purchasing processes.
- Assists with departmental projects related to process improvements, ensuring that technology is utilized whenever possible to enhance efficiency and effectiveness

Position Type / Expected Hours of Work : This is a full-time, 260-day calendar position. Days and hours of work are Monday through Friday. Hours of work may vary based on position and division but generally are from 8 : 30 a.m. to 4 : 30 p.m. Occasional evening and / or weekend work may be required as job duties demand.
Travel : Limited Travel
