What are the responsibilities and job description for the Surgical Scheduler position at Bucks County Orthopedic Specialists?
We immediately need a full-time Surgical Coordinator for our growing Orthopedic Practice. This position will work in either the Warrington or Doylestown, PA office. Candidates who reside in Bucks County, PA are preferred. The primary responsibilities will be to Pre-certify and schedule surgeries and code procedures.
MUST HAVE SKILLS:
- HIPAA compliant
- AT LEAST 1 year of prior experience as a Surgical Coordinator or Scheduler
- Multitasking experience
- Experience in office administration, clerical duties, and front desk operations
- Knowledge of medical terminology, EMR systems, and HIPAA regulations
PREFERRED SKILLS:
- Familiarity with Microsoft Office and customer service experience
- good communication and interpersonal skills,
Responsibilities:
- Constant communication with every provider in the office is needed to schedule surgical procedures for the hospital or the surgery center.
- Pre-certify surgical cases with insurance companies.
- Gather census information every day and enter it into E-ClinicalWorks regarding what patients were seen in the hospital and whether they had surgery/consults done by our physician.
- Prepare surgery charges for each physician for their initials and "ok" to bill.
- Communicate by phone and in person with patients and patients' families regarding the surgical procedure to be performed.
- Print next week's schedule and give it to the physicians for their surgical case order.
- Complete the OR list and fax it to the OR.
- Check for History & Physicals, and MRI reports dictated by the physician or physician assistant.
- Copy orders and consent forms for surgery.
- Print the previous week's surgeries.
- Pull operative reports from the Doylestown Surgery Center website and save them in the office's shared files. Then, give this list to the clinical department.
- Create surgical visits for the previous week.
- End of Month: List total joint patients and fax it to the appropriate vendor.
- Check online and by phone for surgical referrals for upcoming surgeries.
- Keep up to date on surgical coding and billing procedures.
- Verify that the referral for surgery is available for patients without electronic referrals.
- Fax physical therapy scripts or other pertinent information to an appropriate provider.
- Distribute faxes to appropriate office staff.
- Balance charges and payments at the end of each business day.
- Typing office notes for patient visits or narrative reports if time permits.
- Answer phones and schedule appointments for patients during lunch hours.
- Responsible for opening and closing the office on specific days.
