SUMMARY

This position is responsible for carrying out all Company payroll preparation and processing, tax reporting, commission calculations, compliance, and payroll systems maintenance. The payroll lead oversees the activities of all employees within the payroll department and works with Company managers to ensure accurate payroll reporting.

This position is hybrid, 3 days in office 2 days remote, after completing a successful 30 day probationary period in office.

PAY

  • $28 – 32 an hour DOE

ESSENTIAL DUTIES

  • Processes disbursement of multi locations payrolls, including overseeing elected deductions and all standard deductions consistent with local, state and federal wage and hour laws
  • Critically reviews: current payroll, benefits changes, and tax procedures
  • Recommends and implements changes leading to best-practice operations
  • Processes paychecks for all employees including: owners, executive staff, and management staff
  • Audits W-4s, payroll balance sheets, and YTD earnings
  • Balance the payroll accounts by resolving payroll discrepancies
  • Communicates actively with Chief Accountant, Operations, Human Resources, and Controllers to review cross-departmental impacts and reconcile data sharing
  • Partner with Human Resources to address company benefits and payroll concerns
  • Ensure systems are set-up and updated to reflect our current employee base, including wages, benefits, sick and Vacation time (PTO).
  • Determines payroll liabilities by applying the calculation of employee federal and state income and social security taxes, employer’s social security, unemployment and worker’s compensation (L&I) payments
  • Ensures preparation of relevant management reports, including weekly, semimonthly, monthly, quarterly, W-2s’, ACA and year-end reports for compliance of payroll (Gross payroll, hours worked, PTO, tax deductions, benefit deduction, nontax wages, etc.)
  • Ensure payroll teams communicate timely with management and employees on all concerns relating to employees pay or payroll system access.

Recruit, hire, train, motivate, counsel, and monitor the performance of all payroll employees

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required:

  • Must have valid Driver’s license
  • Must be 18 years or older
  • Clear and concise communication skills
  • Compensation and wage structure knowledge
  • Financial knowledge
  • Accounting knowledge
  • Extensive knowledge of an accounting payroll system
  • Proficient at MS Office
  • Must be highly organized

EDUCATION and/or EXPERIENCE

  • Minimum Requirement: High school diploma or general education degree (GED) and five to seven years related experience and/or training; or
  • Associate degree (A. A.) or equivalent from two-year college or technical school and two to four years related experience and/or training; or equivalent combination of education and experience.
  • Preferred: Bachelor's degree (B. A.) from four-year college or university and one to two years related experience and/or training; or equivalent combination of education and experience.
  • Preferred: Certified Payroll Processor Certification (CPP)

LANGUAGE SKILLS

  • Ability to read and comprehend instructions, correspondence, and memos
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees
  • Ability to read and interpret documents such as operating and maintenance instructions of payroll program, and procedure documents
  • Ability to write routine reports and correspondence
  • Ability to read and interpret documents such as wage and hours laws for local, state and federal agencies
  • Ability to speak and listen effectively employees of organization. Clear and concise communication is vital in this position

MATHEMATICAL SKILLS

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages

REASONING ABILITY

  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions
  • Ability to deal with problems involving a few concrete variables in standardized situations
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
  • Ability to deal with problems involving several concrete variables in standardized situations
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job:

  • Standing: Must be able to stand at intervals
  • Sitting: Must be able to sit for long periods of time
  • Walking: Various tasks will require walking on carpeted floor, up and down stairs, and walking on concrete/asphalt surfaces
  • Changing Positions: Flexibility is allowed in making frequent position changes (standing, sitting, or walking) as necessary to physically perform routine tasks
  • Carrying/Lifting: These objects may come in various shapes and sizes. May need to regularly lift up to 10 pounds. If the object is to bulky or heavy, the employee must seek assistance
  • Push/Pulling: May occasionally have to push a chair or pull drawers open
  • Bending/Twisting: Certain tasks will require the person to bend and/or twist from either; waist, knees, neck, back, or arms (i.e., bending to get item out of drawer or cupboards, etc.)
  • Reaching/Handling: All tasks performed by this person will require the use of hands and arms (i.e., computer operation, accessing items from cupboards/drawers, writing, answering phones, grasping keys and/or articles etc.)
