The Parts and Service Clerk is responsible for providing excellent customer service by assisting customers in locating and purchasing parts, as well as scheduling and coordinating service appointments. This role involves maintaining inventory, processing orders, and ensuring the service department operates smoothly and efficiently.
Key Responsibilities
Customer Service
- Greet customers promptly and courteously, addressing their needs and inquiries.
- Assist customers in identifying the correct parts for their needs using catalogs or software.
- Provide accurate price quotes and process transactions.
- Schedule service appointments, ensuring efficient workflow for technicians.
Parts Department Duties
- Maintain and organize parts inventory, including stocking shelves and conducting regular inventory counts.
- Process incoming parts shipments and verify accuracy against invoices or purchase orders.
- Place orders for parts and supplies as needed.
- Ensure parts displays and storage areas are clean, organized, and presentable.
Service Department Duties
- Coordinate with the service team to ensure timely completion of repairs and maintenance.
- Maintain service records and invoices.
- Follow up with customers regarding repair status, costs, and timelines.
Administrative Tasks
- Use company software to process orders, track inventory, and create invoices.
- Ensure proper documentation of all parts and service transactions.
- Assist in generating sales and performance reports for management.
Qualifications
- High school diploma or equivalent required; additional technical training is a plus.
- Previous experience in a parts, service, or customer service role preferred.
- Familiarity with automotive, heavy equipment, or industrial parts is an advantage.
- Proficiency in inventory management and point-of-sale software.
- Strong organizational and multitasking skills.
