As a key member of our team, you will be the first point of contact for customers while also assisting with order processing, scheduling, service coordination, and administrative support across departments. Primary Responsibilities – Customer Service & Reception
✔ Customer Interaction & Communication
- Answer and professionally direct incoming phone calls.
- Respond to inquiries via phone, email, SMS, and online chat.
- Greet customers, vendors, and team members in a welcoming manner.
- Handle outbound calls to follow up on leads and service requests.
- Provide accurate information on products and services to enhance customer satisfaction.
- Maintain detailed records of customer interactions in the CRM and company database.
✔ Scheduling & Appointment Coordination
- Assist customers in scheduling in-home consultations and confirming appointments.
- Optimize installer and sales team schedules, filling appointment gaps for efficiency.
- Prioritize consultation requests and ensure smooth workflow between departments.
✔ Administrative & Data Management
- Process customer orders, payments, and documentation.
- Track and update customer service requests to ensure timely resolution.
Cross-Functional Responsibilities – Supporting Key Teams
This role provides active support across multiple departments, ensuring seamless operations:
✔ Receiving Clerk Support
- Check in product deliveries and enter them into the system.
- Communicate ready and partial orders to the Installation Coordinator.
- Maintain an organized warehouse and track shipments for on-time delivery.
✔ Sales Support
- Assist customer walk-ins and encourage in-home consultation bookings.
- Help process and send digital order agreements.
- Support customers responding to estimate follow-ups by answering questions or completing sales.
✔ Installation Coordinator Assistance
- Optimize installer routes for maximum efficiency.
- Schedule and confirm installation appointments and set expectations with customers.
- Assist in processing remakes for damaged or incorrect products.
✔ Service Coordinator Assistance
- Assist customers with warranty and service requests.
- Coordinate with vendors for warranty claims and approvals.
- Send digital service authorizations to customers.
✔ Bookkeeping & Order Processing
- Process payments and close out completed jobs.
- Approve installer timecards before payroll processing.
- Assist with processing estimates for the Outside Sales Team.
