Summary

The Intake/Data Entry Specialist performs administrative, customer, and technical support duties for the Buffalo Employment and Training Center programs. Work includes providing initial information and orientation to customers on available services, as well as the process for receiving services. The specialist will be responsible for initial intake assessments to determine customer eligibility and workforce needs.

Duties and Responsibilities (Illustrative Only)

  • Effectively complete intake assessment with customers, reviewing documentation and verifying eligibility.
  • Data entry from registration form to OSOS (One Stop Operating System) database, including ITA’s and workshops.
  • Responsible for accurate and timely customer enrollments.
  • Provides basic information on self-help and workforce services; may conduct informational orientations or workshop sessions.
  • Appropriately receives customers via telephone, walk-in, and virtual to assist in determining the appropriate services for continued Center and staff utilization.
  • Answers customer questions and resolves issues with additional staff support as needed.
  • Demonstrates professional and courteous service at all times.
  • Must have excellent oral, written, verbal, and virtual telecommunication skills; Able to provide services using translation aids.
  • Demonstrates knowledge of services available through the center.
  • Schedules customers for services and activities in a timely and accurate manner.
  • Assists with Center career resource services as needed.
  • Demonstrates the ability to work with multicultural diverse population
  • Assists counselors with contract services, including but not limited to book reimbursements, and funding for childcare at a NYS approved facility.
  • Performs other tasks as assigned, may be assigned to other duties, responsibilities, offices, programs and locations based on the service and staffing needs.

Qualifications and Requirements:

Associates Degree and two years of intake/data entry experience, including advanced computer skills that demonstrate accuracy and attention to detail, or a related field showing that the candidate has the required skills for the position.

OR

Requires graduation from high school and five years of full-time paid experience as listed above.

Skills, Knowledge and Abilities

· Preference will be given to candidates with experience working with disadvantaged populations and previous counseling or related experience;

· Working knowledge of and familiarity with interviewing, counseling, case management, job search, and job retention strategies;

· Working knowledge of and familiarity with assessment tests and techniques, aptitude and interest-inventory test administration;

· Must be proficient in the use of Microsoft Office Suite (Word, Excel, and PowerPoint);

· Must have a valid driver's license, reliable transportation, and be able to travel among various locations.

Essential Physical/Mental Functions

Physical Elements:

· Lifting and carrying 5-10 pounds occasionally;

· Pushing and pulling 5-10 pounds occasionally;

· Ability to stand, walk and sit frequently;

· Ability to speak and hear, both in person and on the telephone frequently;

· Repetitive use of hands to finger, handle, feel and operate standard office equipment

· frequently;

· Ability to bend, squat, kneel, reach, balance and climb stairs occasionally; and

· Specific vision abilities required by this job include close vision, distance vision and the

ability to adjust focus;

· In-person, student-facing position.

· Regularly required to use written and oral communication skills;

· Organizing and coordinating schedules;

· Read and interpret data, information and documents;

· Analyze and solve non-routine and complex office administrative problems;

· Use math and mathematical reasoning;

· Observe and interpret situations;

· Perform highly detailed work on multiple, concurrent tasks;

· Work under intensive deadlines with frequent interruptions;

· Interact with Center directors, managers, staff, students, the public and others

encountered in the course of work; and

· Completing written work-related reports.

Job Type: Full-time

Pay: $40,000.00 - $50,000.00 per year

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekends as needed
