We are seeking a Full Time Operations Specialist to join the Group. This position is a Supervisor level role that will be responsible for overseeing our Provider offices, including staff, at all of our locations. Our offices are located in Williamsville, Orchard Park, Downtown and Lockport.
Schedule: Full time, 40 hours, with start times as early at 7:30am
Essential Duties and Responsibilities:
Medical Office Support
- Assists with interviewing Medical Assistant and other office support candidates with either Human Resources, Department Coordinators, or Office Leads
- Assists with the management of the Medical Assistant Float Pool by providing coverage for Medical Assistants and other office support staff in instances where office staff cannot report to work, need to leave early, have an internal office issue
- Assists with the supervision of Medical Assistant office and float staff, processes their payroll, completes evaluations and administers disciplinary action if necessary
- Directly oversees BMG Medical Assistants and other office support staff that are assigned to ensure they are following BMG policy and procedure
- Evaluates medical offices based on efficiency indicators and BMG standards
- Assists with the introduction and training of new workflows, procedures, and pharmaceuticals to the clinical offices and ensures BMG policy and procedure are followed
- Using the office assessment tool assist the operations team with evaluating; accessing; analyzing and make recommendations for operational improvements.
- Work with providers; staff and other departments to evaluate; monitor and train staff to meet corporate and P4P quality measures.
- Assist with providing on-site support at all BMG office locations.
- Ensures that staff is completing all physician requests and patient follow-ups in a timely, accurate and confidential manner.
- Work with operations team to improve compliance with no lunch/ missed punch policy and assist with timecard management.
- Completes Medical Assistants and other office support staff’s 90-day and annual evaluations in conjunction with physician or office lead
- Works with the Human Resource Department to provide disciplinary action for those Medical Assistants and other office support who are not following BMG policy and procedure or guidelines in the Employee Handbook
- Assists providers and staff with patient complaints, comments, and/or concerns
- Completes daily rounds at main office site as of means of assessing and supporting the delivery of optimum patient care
- Regularly meets with individual physicians, leads, and staff to assess office functioning, operational efficiencies, use of tools, and adherence to Group policies and protocols
- Reviews reports to maintain a balance between productivity and staffing in clinical offices while minimizing overtime
Corporate
- Participates in the planning for the BMG Annual Employee Meeting Committee
- Assists with the management of the BMG Flu Clinic
- Provides administrative oversight of assigned clinical office i.e. On-Site Team Support
- Assists with the onboarding, exiting, and moves of BMG providers
- Actively participates in committee meetings or as a part of project teams to improve operation and the patient experience at BMG
- Responsible to ensure that all building areas are clean, neat, and efficient
- Attends at a minimum 75% of the Supervisors Meetings
Training
- Processes payroll for all trainees throughout entire training program when requested
- Assists with the administration and distribution new hire training schedule for entire training program which includes application training, classroom training, site visits/tours, and office training
- Contributes in the development of teaching outlines and instructional methods such as individual training, employee retraining, and group instruction
- Provides training in software products utilized by BMG for example: Outlook, payroll, SharePoint along with phone system training
- Provides input for the selection of the Medical Assistant training offices (both primary care and specialists) who will provide one on one training for our new employees
- Contributes to the development of teaching aids and the content of the training materials in order to provide the most interesting, visually appealing materials.
- Assists with tracking and documenting all tests and evaluations for each trainee. Personally meets with trainees to deliver positive feedback, as well as areas for improvement.
- Works with the Applications Department to design the training curriculum and methods to improve effectiveness.
- Assists with any disciplinary action of MA trainees after discussion with Human Resources and/or the COO
- Assists with the annual Medical Assistant Training Offices Meeting
Qualifications:
- Minimum of 5 years clinical experience
- 1 year Supervisory experience
- Associates Degree
