Position Summary
The Middle School Prep/Prep Bridge Program Manager oversees the day-to-day program operations and student management throughout the Middle School Prep academic and summer programs.
The Middle School Prep/Prep Bridge Program Manager is required to work 8:00 a.m. – 3:00 p.m. on Saturdays from September – June with additional at home planning hours and weekly team meetings for an average of ten hours a week. The Middle School Prep/Prep Bridge Manager is required to work 8:00 a.m. – 4:30 p.m. Monday – Friday during the 5-week summer program with additional planning and training requirements.
Essential Functions
Program Oversight and Supervision
- Construction of all program schedules and calendars.
- Engage in regular communication with Middle School Prep/Prep Bridge parents.
- Work with other staff to provide program reports and student data in accordance with stated timeframes.
- Maintain program records in a timely manner and student database for the purpose of end of year evaluations.
- Work with Middle School Prep/Prep Bridge and High School Prep staff to ensure successful student transition into High School Prep.
- Maintain positive relationships and communication with all Buffalo Prep staff, students, and parents/guardians of students.
- Work with students on behavior and/or academic improvement plans as needed.
- Plan and facilitate all Middle School Prep/Prep Bridge field trips and events such as but not limited to, orientation, graduation and parent events.
- Oversee day to day responsibilities of Middle School Prep/Prep Bridge faculty and provide guidance and coaching when necessary.
- Perform all other duties as assigned by the President and Assistant Director.
Student Counseling
- Meet with students and lead discussions as needed.
- Communicate regularly with all program and management staff regarding student counseling issues. Refer students to Child and Family Services as needed.
- Serve as a mentor and counselor to students and help with academic and/or social-emotional issues.
Recruitment
- Partner with Director of Admissions, and Admissions and Recruitment Manager to make necessary changes to reach more potential candidates for the program.
- Work with the Director of Admissions and Admissions and Recruitment Manager to schedule recruitment sites/dates.
- Evaluate grade reports, interviews, and other factors to make admission decisions for Middle School Prep/Prep Bridge in conjunction with the admissions committee.
- Monitor retention rate of the program and develop a plan to reach the targeted goals as determined by the Buffalo Prep Board of Directors.
Public Relations and Events
- Represent Buffalo Prep at public and special interest meetings and on external committees as determined by the needs of the program.
- Attend and assist in pertinent planning for Buffalo Prep events including but not limited to Prep in Action, Prep for Dinner, and the Celebration of Achievement.
Academic Program Responsibilities
- Assist President, Chief Program Officer, and Middle School Prep/Prep Bridge Faculty with Buffalo Prep’s culturally relevant and culturally sustaining curriculum development, design and implementation.
- Research based approach to curricula and instruction based on data collected in the partner schools and frequent feeder schools.
- Work with faculty to ensure coherence and continuity in the academic program, while facilitating interdisciplinary curricula and instruction.
- Assist with facilitating regularly scheduled curriculum meetings with High School Prep, Prep Scholars Academy, and Middle School Prep/Prep Bridge faculty.
- Work with the President and Chief Program Officer to utilize data for reporting purposes.
- Perform all other duties as assigned by management.
- Adhere to all policies including Buffalo Prep’s Stoplight Policy and mandated reporting as outlined by NYS Office of Children and Family Services.

Education and Experience
- Minimum of a Bachelor’s degree in Education, Counseling or related field.
- 3 years experience providing academic support and counseling to middle school students.
- Counseling with a focus on academic preparation, time management, socialization, and other skills that pertain to academically gifted middle school students.
- Experience working with students from diverse backgrounds. Proficiency with Microsoft Office Suite and , Google Suite.
Knowledge, Skills and Abilities
- Ability to engage students, listen effectively, and provide guidance for academically talented economically challenged underrepresented middle school students.
- Excellent communication and interpersonal skills. Must possess the ability to work with a variety of constituencies including students and their families, Buffalo Prep Staff, Board of Directors, and others.
- Represent Buffalo Prep at public and special interest meetings and on external committees as determined by the needs of the program.
- Willingness to engage in study and implementation of culturally relevant and sustaining pedagogy, curriculum, and classroom management.
- Strong organizational and time management skills.
- Ability to network with other community service providers (schools, community groups, libraries, etc.) to recruit students for the program.
