About You

You are an organized, detail-oriented professional who enjoys keeping things running smoothly. You thrive in a supportive, small office setting and are comfortable managing multiple responsibilities, ensuring seamless communication between clients and attorneys. Your assertiveness, problem-solving skills, and friendly disposition make you a natural at client interaction, task management, and pipeline administration.

Key Responsibilities

  • Case Administration: Oversee and manage the firm's pipeline of business transactions and corporate legal matters
  • Client & Attorney Coordination: Track case statuses, follow up with attorneys on pending matters, and ensure files remain up to date
  • Client Onboarding Management: Assist with drafting and finalizing retainers, and ensuring completion of necessary client onboarding paperwork
  • Client Communication: Serve as a liaison between clients and attorneys—scheduling appointments, forwarding emails, and providing status updates
  • Billing & Collections: Manage deposits, track invoices, and follow up on payments as needed
  • General Office Support: Maintain Clio (case management software) and assist in streamlining administrative processes


Requirements


What We're Looking For

  • Highly organized and detail-oriented with a proactive approach
  • Strong task management skills and ability to keep cases moving forward
  • Comfortable interacting with attorneys and clients in a professional, friendly manner
  • Prior experience in law firm case management, business administration, or a related role (not PI-focused)
  • Strong written and verbal communication skills, with excellent phone etiquette
  • Ability to work independently and collaboratively within a small team
  • Education: College degree preferred, but relevant experience is equally valued
