What This Role is About
As our Legal Intake Specialist, you will be the first voice of our firm, welcoming potential clients and guiding them through our intake process with empathy and efficiency. Your role is vital in ensuring that families receive the support they need by:
✔ Answering inquiries and providing information about our services
✔ Scheduling consultations and assisting with client onboarding
✔ Facilitating meetings and processing final documents
✔ Maintaining clear and organized client records
✔ Coordinating outreach efforts, including sponsorships, presentations, and community events

What You’ll Be Doing
- Client Communication – Serve as the first point of contact for potential clients, gathering information and answering questions about our services.
- Appointment Scheduling – Coordinate consultations and follow up with clients as needed.
- Administrative Support – Maintain organized case records, assist with onboarding, and process final documents.
- Community Outreach & Events – Coordinate and attend firm-sponsored presentations, fairs, and community events (6-8 times per year, including evenings and occasional weekends).
- Sponsorship & Partnership Coordination – Manage requests and opportunities for firm sponsorships and speaking engagements.
- Team Collaboration – Work closely with attorneys and staff to ensure a seamless intake experience.
- Confidentiality & Compliance – Handle sensitive client information with professionalism and discretion.
What We’re Looking For
- Compassion & Empathy – Ability to support clients with warmth and patience during difficult times.
- Strong Communication Skills – Comfortable engaging with clients, attorneys, and staff in person, over the phone, and via email.
- Attention to Detail – Organized, efficient, and able to manage multiple tasks at once.
- Tech-Savviness – Experience with legal CRM tools (Clio Grow preferred) and Microsoft Office.
- Legal Experience – At least 1 years in estate planning or a comparable field.
- Familiarity with Special Needs – Personal or professional experience with special needs communities is a plus.
✔ Salary: $45,000 – $55,000 per year
