Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support our senior leadership team. This role is not for the faint-hearted; it requires someone who’s ready to roll up their sleeves, manage multiple priorities, and hit the road when necessary. You’ll be responsible for ensuring that our executives can focus on strategic priorities while you handle the logistics, from managing hectic schedules to coordinating travel plans for Build TV projects and events. The ideal candidate will be fluent in Spanish and Portuguese, possess excellent communication skills, meticulous attention to detail, and the ability to multitask in a fast-paced environment. Not a must.
Key Responsibilities:
- Calendar & Schedule Management:
- Maintain and organize executive calendars, schedule meetings, and coordinate appointments with precision.
- Proactively resolve scheduling conflicts and anticipate upcoming needs.
- Travel Coordination:
- Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
- Manage last-minute changes and handle travel logistics under tight deadlines.
- Communication & Coordination:
- Serve as the primary point of contact for internal and external stakeholders.
- Prepare and distribute meeting agendas, minutes, and follow-up communications.
- Liaise with vendors, event coordinators, and team members to ensure seamless operations during travel and on-site events.
- Administrative Support:
- Organize, file, and manage documents and correspondence.
- Prepare reports, presentations, and expense documentation.
- Anticipate executive needs and provide solutions before problems arise.
- Event and Project Support:
- Assist with planning and executing company events, project launches, and off-site meetings.
- Provide on-site support during key projects, ensuring everything runs smoothly.
Qualifications:
- Experience:
- Minimum 3 years’ experience in an Executive Assistant role or equivalent administrative support position.
- Prior experience in a high-tempo, demanding environment; experience in media, production, or a related field is a plus.
- Skills:
- Excellent organizational skills with acute attention to detail.
- Exceptional written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and familiarity with productivity tools.
- Strong problem-solving skills and the ability to work independently.
- Travel:
- Must be comfortable with and capable of handling frequent domestic and international travel.
- Flexibility to work outside of standard business hours as project demands require.
- Fluent in Spanish and Portuguese (a plus)
