Job Summary:
This role will oversee the day-to-day operations of the accounts payable department for U.S. and Canada. This role is responsible for managing the AP team, ensuring timely and accurate processing of invoices, and maintaining strong internal controls to support the financial health of the company. This role will work closely with vendors, internal departments, and regulatory agencies to ensure compliance with financial policies and regulations in both the U.S. and Canada.
Key Responsibilities:
Management of AP Operations:
- Supervise the accounts payable team in both U.S. and Canada, ensuring adherence to policies and procedures and internal controls.
- Manage the end-to-end AP process, including invoice processing, payment runs, vendor reconciliations, and month-end closings.
- Ensure timely and accurate processing of all vendor invoices, employee expense reports, and other financial obligations.
- Monitor AP aging reports and resolve discrepancies with vendors. Reconcile subledger to general ledger at month-end.
- Manage the company’s corporate and purchase card programs and perform account reconciliations at the month-end.
Compliance and Regulatory:
- Ensure compliance with tax regulations and reporting requirements in both the U.S. and Canada.
- Maintain compliance with local regulations, including sales tax, GST, HST and other applicable taxes.
- Stay informed of changing regulatory requirements and implement changes as necessary.
Vendor Management:
- Build and maintain strong relationships with vendors, ensuring effective communication regarding invoice status, payments and dispute resolution.
- Manage payment terms and discounts with vendors to optimize cash flow.
Process Improvement:
- Identify opportunities for efficiency and improvements within the AP department.
- Manage and oversee the implementation of Conexiom in Canada; this AP automation software is currently being implemented in the US. This is an important function of this role.
- Work with the procurement and finance teams to streamline processes and improve controls.
Leadership:
- Foster a collaborative and efficient work environment, ensuring AP team members are aligned with company goals.
- Provide coaching, training and guidance to the AP team.
- Lead recruitment, onboarding, and development of AP staff.
- Customer service oriented.
Key Qualifications:
Education:
- Bachelor’s degree in accounting, Finance, or related field.
- 5-7 years of experience in accounts payable, with at least 2 years in a managerial role overseeing multi-location or multinational AP processes.
- Experience working with U.S and Canadian tax regulations.
- Familiarity with ERP Systems, P21, Spire, or similar.
- SQL experience strongly preferred.
