Position Summary
Provide high-level administrative support for the Common Threads Thrift brand by assisting and supporting the Common Threads Director team with brand-wide information management and administrative needs. Along with key administrative support, this role also provides periodic project based research, recommendations and implementation support.
Position Details
Full-time, non-exempt position (30-40 hours)
Job Duties
- Oversee the producing, compiling, formatting, printing and/or editing of information, documents, and spreadsheets as requested.
- Create agendas, prep documents, record and distribute meeting minutes at multiple sites each week
- Oversee inventory documentation for Common Threads Thrift as well as assist in year end inventory counts and documentation
- Liaise and coordinate with HR staff on personnel matters and record keeping
- Compile and submit staffing and payroll information and verify accuracy of payroll reports
- Oversee the timely ordering of supplies and procurement of print materials for all of Common Threads
- Maintain and update employee accounts and create and oversee entry of scheduled discounts in Point of Sale (POS) system
- Research, provide recommendations for pathways forward, and contribute implementation support to special projects as assigned
- Oversee the coordination of meetings and events, including ordering and/or delivering meal and supply orders, and onsite setup, and cleanup
- Transport documents between locations, as needed or requested
- Attend and support occasional HopeWorks and Building Hope in the City special functions
- Coordinate and collaborate with BHITC’s Ministry Engagement Manager and store leadership for the onboarding, scheduling, and oversight of volunteers serving at Common Threads
- Keep accurate and complete records of volunteer hours
- Assist with updating, negotiating, and monitoring utilities and vendor accounts
- Assist with testing and reporting of department metrics at each store on a weekly basis, as needed
- Provide documents and information to the BHITC Accounting Department, when requested
Key Skills and Qualifications
- High school diploma or equivalent
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); Google-based applications (Drive, Docs, Sheets, etc.); and team communication platforms like Basecamp and Slack.
- Self-directed and able to work without supervision
- Excellent written and verbal communication skills
- Able to organize and manage large amounts of files, tasks, schedules, and information
- Previous experience in administrative support roles with strong organizational skills; excellent time management skills, and ability to multitask and prioritize work
Physical and Other Requirements
- Valid driver’s license and access to a personal vehicle
- Ability to stand/walk and work consistently for short periods of time without sitting
- Ability to walk, twist, and push
- Ability to lift at least 30 pounds
- Ability to commute to our store locations
- NOTE: Sometimes store production areas can be dusty due to indoor/outdoor traffic and nature of donated items and cleaning

- Starting at $22/hr, commensurate with experience
