Job Title : Office Receptionist - Offsite Office

Summary :
The Receptionist serves visitors by greeting, welcoming, and directing them appropriately according to their request. Notify personnel in different departments of the visitors’ arrival.
Principal Duties and Responsibilities :
- Welcomes visitors by greeting them, in person or on the telephone, answering inquiries.
- Maintains employee and department directories accuracy to direct visitors appropriately.
- Maintains a clean and safe reception area by complying with rules and regulations. Maintains continuity by documenting and communicating actions and irregularities.
- Receives, sorts, and distributes mail once a day.
- Ensure that front office supplies are stocked and keeps inventory up to date.
- Maintains break room stocked with coffee and needed supplies. Contacts vendors regarding re-stocking and maintenance.
- Prepare orders for supplies and uses online portal to make orders after supervisor approvals.
- Performs other clerical duties such as filing, photocopying, faxing, and scanning.
- Maintains a calendar with events, meetings, funds appointments and class schedules.
- Makes copies of Benefits information to keep the members up to date.
- Knowledge of course prerequisites and required certifications as outlined in TF catalog.
- Knowledge of educational requirements as they pertain to advancing in industry courses.
- Knowledge of processes used for recruitment, as well as data entry to keep reports up to date.
- Checks eligibility on V3 database of union members; enrolls eligible members in training courses.
- Knowledge of All Funds benefits and eligibility rules
- Updates member’s information in LMS, such as phone numbers and address.
