Job Overview
We are seeking a detail-oriented applicant to join our team as a part-time office assistant and “runner/courier” for a “many hats” small business in a growing industry— solar energy. Strong organizational (neat freaks welcome!) and computer skills a must. Attention to detail and follow-up skills required.
The ideal candidate will have a positive outlook and friendly demeanor to help support our administrative operations essentially in two ways:
- First, as an office assistant at our Bellmore and Bayville offices in Nassau County. The candidate's main focus will be to generate, organize, complete, submit and track documentation via an online computer portal and via email correspondence for solar energy systems on Long Island. Additionally, the candidate will be responsible for handling various other general office duties such as basic filing, data entry, and otherwise maintaining organized records. Previous experience in an office setting is preferred, ideally within a construction or small business context.
- Second, by acting as occasional "runner/courier" to drop off and pick up documents to or from customers, local building departments or equipment suppliers on Long Island. This will require a clean driver’s license and working vehicle; mileage reimbursement will apply.
Duties
Job tasks to be performed with managerial guidance and possible additional training, depending on current skills and experience, include:
- Organizing, tracking and follow up utilizing calendars, schedules and a master list to ensure smooth and timely customer document processing and inter-office communications about status.
- “Runner/courier” drop off and pick up of documents and equipment/materials.
- Occassional project-based work, which may range from simple collating tasks to helping to create, update and maintain varied customer files or marketing materials, both physical, online and/or archived. May involve willingness to learn how to use solar roof software and other solar-related software programs.
- Scheduling appointments and completing other administrative tasks for the company owner, as needed.
- Organizing and maintaining office workspaces in a clean, orderly and efficient manner, including maintaining supplies to meet needs of basic office equipment and functioning.
- Assisting with setting up community outreach events or presentations.
- Knowledge of MS Word, basic Excel and possible file scanning for permanent record-keeping.
- All of the above plus other associated duties, as needed.
