Position Summary:
The Front Office Assistant provides exceptional customer services throughout their interaction with patients, families and their support systems. They are the face of the office and their interaction with the patient/family is important in creating a patient-first environment. This creates an excellent first impression of Bureau County Family Health services to patients, families and other external customers over the phone or in person. Performs a variety of reception/clerical duties in a medical practice front office and adheres to department guidelines for scheduling and registration. Works collaboratively with patients, providers, office staff and insurance companies to ensure that patient needs are met. Communicates with insurance companies to determine patient benefits, completes prior-authorizations, and is responsible for incoming and outgoing patient calls, co-pay collection, appointment and procedure scheduling for patients.
Required Qualifications:
- Education- High School or GED equivalent
- Customer service experience.
- Typing, filing, telephone skills.
- Basic Microsoft application basic proficiency
- Knowledge of the structure and content of the English language.
- Excellent Customer service skills.
Preferred Qualifications:
- Basic knowledge of medical terminology, ICD-10 and CPT codes
- Electronic Medical Record experience
Primary Job Responsibilities and Accountability:
1. Identifies patient needs during interaction and addresses in a calm and professional manner. Follows office guidelines for scheduling patients and notifies management when barriers arise that impede scheduling appointments.
2. Creates a compassionate environment by providing support to patients and caregivers. Welcomes patients and visitors with a smile in a prompt, courteous, and professional manner. Introduces self to patients and visitors. Encourages an inviting atmosphere for patients and visitors.
3. Maintains a safe and clean working environment, focusing on the front desk and patient waiting room areas, and compiles with policies and protocols put in place to protect patients and employees. Observes environment for patient safety concerns and addresses with care team as appropriate.
4. They provide a name when answering the telephone in a prompt professional manner. Screens calls, takes messages, and provides information to callers in a helpful manner. Appropriately informs nursing triage of acute patient calls. Responds to emergency calls according to established procedures.
5. Completes registration process at time of check in, verifies patient using identifiers, updates insurance coverage, performs real time eligibility checks, updates necessary patient information, assists patients as needed, and responds to stressful situations in a calm and rational manner.
6. Maintains confidential status of medical records and respects the confidentiality rights of patients/employees/guests. Discusses confidential information only in appropriate settings and only when necessary.
7. Sorts mail, faxes and other incoming medical records to appropriate source. Sorts items to be sent to be scanned into the patient’s medical record. Interacts professionally with ancillary departments.
8. Collects co-pays and balance due, Monitors and is accountable for individual cash drawer. Reconciles and submits daily cash to supervisor/manager.
9. Attends and engages in staff meetings and participates effectively in quality improvement initiatives. Completes mandatory requirements.
10. Other duties as assigned.
Special Requirements:
Possession of a valid IL driver’s license; ability to provide reliable transportation for work assignments; possession of appropriate level of automobile insurance as specified in the Department’s personnel policies; able to lift and move at least 50lbs; Must pass a criminal background check and drug test.
