Key Responsibilities:
- Oversight of Accounts Payable Accounts Receivable:
- Ensure timely and accurate processing of accounts payable and accounts receivable transactions.
- Oversee and implement efficient procedures for billing and collection, ensuring adherence to payment terms and minimizing overdue accounts.
- Monitor outstanding balances and develop strategies to optimize cash flow and manage credit risk.
- Payroll Management:
- Manage and oversee payroll processing, ensuring accuracy, compliance, and timeliness.
- Collaborate with HR to align payroll with compensation policies and regulatory requirements.
- Resolve payroll discrepancies, ensuring all compensation (e.g., overtime, bonuses) is accurately tracked and paid.
- Invoicing and Reconciliation:
- Oversee the reconciliation of invoicing and payments, ensuring all invoices are accurately matched to corresponding work orders and payments.
- Develop and maintain systems for tracking project-based invoicing, billing schedules, and progress payments.
- Address and resolve invoice discrepancies in collaboration with internal departments and external clients.
- Financial Planning and Analysis:
- Assist in developing financial forecasts and budgets, focusing on optimizing working capital through efficient AR/AP management.
- Prepare monthly financial statements and balance sheet account reconciliations.
- Support executive leadership with insights on financial performance and cash flow trends to guide decision-making.
- Responsible for annual property and casualty insurance renewal.
- Policy Development and Compliance:
- Establish policies and controls to ensure the accuracy and compliance of accounting and payroll functions
- Ensure all accounting practices align with industry regulations and industry-specific accounting standards.
- Collaborate with external auditors and regulatory bodies to maintain compliance with all financial and reporting standards.
- Team Development and Cross-functional Collaboration:
- Lead and develop a staff of accounting professionals in AR, AP, payroll/benefits, and reconciliation.
- Collaborate closely with division managers and business units to streamline financial operations and improve interdepartmental communication.
- Foster a culture of accuracy, transparency, and accountability within the accounting department and across the company
- Education: Bachelor’s degree in Finance, Accounting, or related field (CPA, CMA preferred).
- Experience: 10 years in finance roles with substantial experience in accounts payable, accounts receivable, payroll, and invoicing, preferably in the service industry.
- Technical Skills: Proficiency with accounting software (NetSuite specifically) and strong knowledge of financial reporting and reconciliation processes.
- Industry Knowledge: Familiarity with construction-specific financial workflows, contract management, and project-based invoicing.
- Leadership Skills: Proven track record in managing accounting teams and improving operational efficiency.
- Detail Orientation: Exceptional attention to detail, especially in transactional processes and reconciliation.
- Analytical Skills: Strong problem-solving abilities to ensure accurate financial processing and resolve discrepancies.
- Communication: Excellent communication skills to collaborate effectively with various departments and clients.
- Time Management: Ability to manage competing priorities and ensure timely processing of payroll, accounts payable, and receivables.
