Job Description

Location : Katy, TX

Length : Temporary role assisting for 1 month, but could extend beyond that and could go perm for the right person!

Pay Rate : $19 / hr.

Start Date : ASAP Start

Dress Code : Business professional attire, with conservative wear and dress shoes. No visible tattoos (please ensure they're covered).

Background Check Process : Each candidate will need a background check

Documentation Details : Candidates must sign the employee handbook and confidentiality forms

Schedule : 7 : 30 AM - 4 : 00 PM, Monday - Friday

Qualifications :

  • Bachelor's degree required with a minimum of 3 years of relevant business experience
  • Proficient in Microsoft Word, Excel, Google Applications
  • Proficient in general office management and procedures, possess excellent interpersonal, organizational and communication skills; verbal and written
  • Knowledge of correct English grammar, punctuation, spelling, and proofreading; record keeping and filing systems
  • Be self-motivated and able to prioritize and multi-task
  • Effectively coordinate a variety of difficult, technical administrative functions at a level requiring extensive independent decision-making within established rules, policies, and procedures
  • Strong organizational, communication, and interpersonal skills
  • Positive and professional attitude
  • Ability to perform work in multi-person office with numerous distractions and interruptions

Major Duties and Responsibilities :

Administrative Assistant to CFO and Business Manager

  • Screen calls, greet visitors, and respond to parent requests
  • Schedules and coordinates the CFO and Business Manager's calendar and appointments
  • Coordinates timely receipt of CFO and Business Manager's meeting agenda items
  • Set Priorities, define tasks, schedule and coordinate activities and functions
  • Exercise independent thinking and good judgment
  • Schedules and coordinates travel and conference arrangements for CFO and Business Manager
  • Prepares and distributes notices, agendas and supplementary materials for meetings
  • Prepares notes and follow-up actions from meetings
  • Performs record keeping and general clerical functions (e.g. scheduling, copying, faxing, mailings, etc.)
  • Assist in the managing of donor data through fundraising software
  • Maintain confidentiality of files, records, and student information
  • Prepares requisitions
  • Assist Business Manager with all documentation needed for annual audit
  • Keeps the Business Manager apprised of potential problems and concerns
  • Creates and processes letters, newsletters, correspondence and reports for the Business Manager
  • Responds to inquiries from a wide variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among department and / or providing direction as may be required
  • Attends meetings as assigned for the purpose of conveying and / or gathering information required to perform functions, including but not limited to monthly board meetings
  • Perform other duties as assigned by the Business Manager
  • Business Office :

  • Collect payments and cash
  • Prepare cash deposits
  • Prepare requisitions in the system
  • Support budget preparation and audit processes
  • Maintain organized business office filing systems
  • Enter receivable entries in the system monthly
  • Assist with monthly financial reports
  • Assist Business Manager, as needed
  • Other duties and responsibilities as assigned
