Personal Assistant
Responsibilities:
- Input monthly cash activity and cut checks weekly for Owner?s personal accounts in QuickBooks
- Download credit card statement activity into QuickBooks and code expenses
- Manage the Owner?s calendar both personal and professional, including scheduling appointments, meetings and travel arrangements
- Coordinate and prioritize day to day tasks, proactively managing deadlines
- Organize lunches for quarterly board meeting and other office staff events
- Communicating on behalf of owner via phone calls and emails (occasionally)
- Assist with personal errands and tasks with confidentiality and discretion.
- Assist with travel, living arrangements & medical appointments for 2 college-aged children
- Assist owners with annual holiday honey gifting and other special projects
- Assist with vehicle registrations renewals or other annual/monthly task
- Schedule courier and FedEx/UPS
- Assist with 1099?s annually
- Support office as a backup for answering phones and accepting deliveries
- Other responsibilities as assigned by management
Qualifications:
- Undergraduate degree preferred
- Bookkeeping experience preferred, Quickbooks knowledge a plus
- Good Excel skills
- Exceptional organizational skills, attention to detail and ability to anticipate what could go wrong in a situation
- Proven experience as a Personal/Executive Assistant
- Able to manage several tasks at once while prioritizing responsibilities
- Excellent communication skills (both oral and written)
- Ability to exercise discretion with respect to highly confidential/sensitive information
- Integrity, ethical standards, and sound judgement
- A positive, proactive, and can-do attitude
