The Business Initiatives Coordinator will proactively assist in anticipating, strategizing, coordinating, reviewing, compiling, tracking and outlining business initiatives for the newly formed Enterprise Transformation Office (EXO). This position will proactively assist EXO leaders, Initiative Strategists, Program/Project Managers, Business Architects/Analysts, Change Managers, and Communication Strategists in ensuring initiatives align with enterprise transformation objectives on time and on budget by tracking business results / KPIs, milestones, increasing leadership endorsement, and focusing on implementation. Additionally, the Business Initiative Coordinator will provide general administrative support to EXO leadership.
- Assist in coordinating Transformation strategies and programs that maximize employee-owner adoption across the entire enterprise.
- Assist in translating business initiatives into their specific purpose, goals, strategies, milestones, and deliverables.
- Assist and coordinate multiple large, complex programs with diverse stakeholders.
- Assist in developing robust communications plan to outline the targeted business initiatives.
- Assist in the development, tracking, monitoring, and reporting of initiative metrics.
- Assist to develop, customize and package effective communications (written, oral, pod cast, video) etc.
- Assist in identifying various engagement strategies, approaches, impacts, benefits, and challenges to ensure the adoption of initiatives.
- Assist in general research and documentation for new initiatives.
- Assist with tracking and developing reports outlining the challenges faced during the implementation of business initiatives.
- Assist in ensuring C-Suite, Executive Sponsors, Officers, Principals, Ambassadors, and stakeholders across the entire Burns & McDonnell enterprise are appropriately engaged in new and existing transformation initiatives.
- Facilitate disseminating information to vendors, suppliers, initiatives teams and stakeholders across the Burns & McDonnell enterprise as part of the overall communications, change and initiative management processes.
- Prepare and present meeting agendas, notes, presentations, reports and tables utilizing Teams, Sharepoint, Word, Excel, PowerPoint, and other programs.
- Manage initiative preparation and compile documentation updates.
- Monitor and track initiative deadlines and benchmarks and support progress reports covering action items and progress updates.
- Plan, schedule, and coordinate on-site and off-site meetings for the EXO.
- Coordinate initiative personnel's required training programs and records in conjunction with the corporate training department and project requirements.
- Provide EXO leaders general administrative support including managing schedules, expense reports, and meeting coordination.
- Performs other duties as assigned.
- Complies with all policies and standards.
Qualifications
- Bachelor's degree in marketing, communications, business administration, or related field required or
- Applicable years of experience may be substituted for degree requirement.
- Prior internship and/or related consulting experience and/or prior marketing and/or communication experience preferred
- Knowledge in standard change management techniques, principles, and procedures preferred. Prosci certification a plus.
- Excellent written and verbal communication skills.
- Ability to work methodically and analytically in a quantitative problem-solving environment and demonstrated critical thinking skills.
- Strong attention to detail, facilitation, team building, collaboration, organization, and problem-solving skills.
- Highly collaborative, with existing Burns & McDonnell internal network preferred.
- Strong ability to work independently and proactively, demonstrating accuracy, reliability, organization and problem-solving required.
- Advanced ability with Microsoft Office 365 (O365), Outlook, Teams, Sharepoint, Powerpoint and Word required.
- Ability to proactively learn and adopt new technology innovations, systems and tools.
- Intermediate ability with OneDrive, Excel, and Power Automate preferred.
- Excellent organizational skills, attention to detail, communication skills and ability to handle multiple tasks proactively.
- Demonstrated ability to communicate with all levels within an organization.
