Job Overview
Business Law Group, a growing law firm based in downtown Colorado Springs, is seeking an Intake Coordinator and Assistant Billing Manager to support our team by overseeing the intake process and to assist our billing manager. The ideal candidate will have strong organizational skills, good attention to detail, professional communication skills, effective time management and planning skills, and a passion for being part of a great collaborative environment. This is a full-time, in-office position. Pay will be based on experience, but will likely be between $18-25/hr.
Responsibilities and Duties
Client Intake
- Collect necessary intake information on new clients and integrate new clients into our client management software and document management software.
- Draft and send engagement letters to new clients and collect initial payments into our firm's trust account.
- Tracking the client integration process.
- Provide attorneys with the information they need to begin working on a matter once a client is fully engaged and integrated.
- Drafting non-engagement and end-of-representation letters when matters are concluded.
Billing and Collections
- Assist the Billing Manager as needed.
- Perform daily billing reviews.
- Communicate efficiently with attorneys and paralegals to ensure all billing entries are entered daily, and that all entries are accurate.
- Edit attorney billing entries to create an accurate and comprehensive narrative of time spent on each matter.
- Prepare and send timely and accurate invoices to clients on a monthly basis.
- Follow up on outstanding invoices and assist in collecting and processing payments.
Qualifications
- Must have an understanding of legal language and terms; prior experience in the legal industry is preferred.
- Must be competent and confident in communicating with clients by telephone. This position will require you to call to collect on overdue payments and you must be comfortable in those situations. You will also need to communicate with new and potential clients by telephone and email.
- Detail-oriented with strong organizational abilities.
- Excellent verbal and written communication skills, with a strong understanding of grammar and the English language.
- Proficient with Microsoft Word and Excel
- Proficient in using software applications for data entry and reporting, with an ability to adapt to client and file management software. We use Clio and ShareFile.
- Ability to handle sensitive information with confidentiality and integrity.
