What are the responsibilities and job description for the Part-time Receptionist position at Butler County Housing Authority?
GENERAL PURPOSE
This position performs a wide variety of word processing functions using a computer and/or a typewriter keyboard. Work shall include assisting the public in completing Authority forms at the front office area and will assist in answering calls and forwarding to the appropriate department for action.
ESSENTIAL JOB FUNCTIONS
· Answers incoming telephone calls and provides specific, routine information and/or direct to the appropriate personnel.
· Type letters, reports, contracts, transactions, transmittals, etc … from draft.
· Performs data entry.
· Read correspondence to become familiar with Authority procedures in order to provide correct information in accordance with any applicable administrative and legal constraints.
· Proofread documents to ensure accuracy and adherence to Authority rules and regulations.
· Greets clients and visitors.
· Schedules interviews and appointments.
· Distributes mail and faxes as received.
· Assists applicants with questions and forms.
· Performs other related duties as required/assigned.
EDUCATION AND EXPERIENCE REQUIREMENTS
· High School diploma or equivalent.
· Two (2) years of related experience.
· Or an equivalent combination of education and experience.
KNOWLEDGE, SKILLS, AND ABILITIES
· Knowledge of English usage, spelling, grammar, and punctuation.
· Knowledge of modern office procedures, methods, computer equipment, and word process, spread sheet and data base programs.
· Knowledge of the fundamental principles and procedures of record keeping.
· Skill in properly interpreting and applying the policies and procedures of the function to which assigned.
· Skill in performing general clerical work.
· Skill in responding to requests and inquiries from the general public.
· Skill in communicating clearly and concisely, both orally and in writing.
· Ability to understand and carry out oral and written directions.
· Ability to establish and maintain effective working relationships with superiors, subordinates, residents, other agencies, and the public.
WORKING CONDITIONS
Work environment is primarily inside, where the noise and temperature levels are moderate.
PHYSICAL DEMANDS
The work is light and requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. Additionally, the following physical abilities are required: balancing, climbing, crawling, crouching, feeling, grasping, handling, hearing, kneeling, lifting, manual dexterity, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, standing, stooping, talking, visual acuity, and walking.
