The Staffing & Scheduling Specialist is responsible for staffing more than 800 full-service events per year. Let that number sink in for a moment…and while doing that, also consider that it equates to more than 50,000 hours worked by over 300 full-time, part-time and seasonal employees. This position is crucial to the success of Butler's Pantry, but is not for the faint of heart. Event staffing is tracked and organized using NOWSTA, a hospitality scheduling and time-keeping application, but this person must also be willing to go old-school by, picking up the phone, emailing and texting employees to staff the events.

Your COMMITMENT to us
KEEP IT STEADY (The necessary stuff)
- Manage the staffing for all Butler's Pantry events, including:
- Utilizing NOWSTA, as well as other appropriate channels, to review, organize, request, and confirm employees to fill requested roles, based on their availability, skills and preferences.
- Working with the Service Team to maintain the employee database in NOWSTA, including employee attributes that are beneficial to appropriate staffing positions, such as employee skills and position capabilities.
- Communicating with the Sales, Events, and Culinary Teams regarding requested roles and details about employees required for events.
- Maintaining knowledge of Butler's Pantry event staff capabilities to optimize placement of event staff.
- Running weekly staffing meetings and taking notes from other departments to make staffing updates.
- Working with the Sales Team to identify critical days well in advance where shortages may occur, and work with the Chief Financial Officer to create and deploy strategies to overcome these shortages.
- Maintaining relationships with various contract employee agencies to utilize contract workers to fill event shifts when appropriate.
- Generally working Tuesday through Saturday to both staff in advance and manage event updates in real-time.
- Maximize the engagement of the Event employees, by:
- Determining the most successful communication methods to convey available event shifts to Event Employees.
- Communicating with Event employees to update and maintain their availability and preferences within NOWSTA.
- Meet Employee event acceptance thresholds set by the Leadership Team, to utilize all available Event Employees.
- Utilizing reporting and data in NOWSTA to provide strategic information to the Chief Financial Officer and Leadership Team about the event team shift load.
- Research and develop new strategies (or software opportunities) to achieve maximum efficiency in the scheduling of Event Employees.
- Be a MIBE (Make It Better Everyday) Leader.
- Set an example for and support all team members.
- Model appropriate behavior and encourage team members to follow suit.
- Support a climate that attracts, retains and motivates top quality service staff employees.
- Act as an ambassador of the Company by sharing the Company's core values, vision and direction with others.
