Position Overview
The Administrative Specialist provides reception and intake services for the Registration & Records department, serving as the primary contact for telephone calls and in-office visits as well as the primary monitor of the web-based ticketing system (Salesforce). The Administrative Specialist fulfills student records requests, including enrollment verifications and in-office requests for official and unofficial transcripts. The Administrative Specialist processes updates and changes to student records within the student information system (PeopleSoft Campus Solutions) and document storage/imaging solution (OnBase) and provides general administrative support for Registration & Records staff, including calendaring support, office supply management, and third-party vendor payment.

Responsibilities
- Provides office reception and in-take services (telephone calls, in-office visits).
- Monitors web-based ticketing system (Salesforce) and assigns cases to staff inside and outside of Registration and Records as needed.
- Processes updates and changes to student records
- Provides general administrative support to Registration & Records, including calendaring support.
- Processes external verification requests (e.g., enrollment verifications, degree verification, loan verifications, good student discount verifications) and in-office transcript requests upon request.
- Scans hardcopy forms/records and uploads them to students' electronic file using the document imaging solution.
- Orders supplies for the unit, and pays invoices from third-party vendors
- Assists with the major processes and events in Registration and Records, such as Commencement
- Other duties as assigned.
- High school diploma/GED
- 1-2 years' experience providing administrative support within a customer-centered environment, preferably a higher education environment.
- 1-2 years' experience working within a relational database, preferably maintaining student records in a higher education environment.
- Experience with Office 365 beyond the beginner level.
