JOB DESCRIPTION
Financial Assistant /Accounts Payable/Receivable Clerk
ACCOUNTABLE TO: The Executive Director and Financial Manager. Job performance evaluation will occur following a 12-month probationary period and on an annual basis thereafter.
RESPONSIBILITIES:
· Maintain a general ledger of each funding source and debit each expenditure
from the appropriate budget and line item and maintain in the Quick Books
computer system.
· Assist and prepare monthly invoices for financial manager
· Prepare checks to pay agency bills on a weekly basis, annotating
invoices to provide a clear audit trail.
· Prepare mailing envelopes so bills are ready to mail, and memo check stubs with the bills.
· Cost allocation bills and add memo on type of expense and line-item allocation of each expenditure.
· Consolidate receipts on a semi-monthly basis and file.
· Collate canceled checks and file.
· Prioritize all bookkeeping tasks according to due date and or workflow
requirement.
· Prepare and follow cost allocation plan in coordination with Financial Manager.
· Responsible for tiering of CACFP providers.
· Maintain and update travel forms
· Maintain office inventory
· Monitor Square, Stripe deposits, and Sunshine Club
GENERAL:
· In-town and out-of-town travel to include over-night travel may be required to perform the responsibilities of this position. The employee is to provide a mode of transportation for this travel. Some travel may be required during inclement weather. Mileage reimbursement is provided
· Attend regular staff meetings.
· Attend meetings and in-service training sessions as funding allows and in consultation with the Supervisor.
· Complete other duties as assigned by Supervisor
QUALIFICATIONS:
Professional degree in Business Management or Accounting is preferred, or a minimum of 2 years of relevant experience in above areas.
Knowledge of researching and writing grants
· Ability to work with people of all ages
· Demonstrated skills in the following areas.
· Working as a team.
· Compiling statistical data.
· Working with Executive Director
· Budgets
· Quick Books
· Excel
· Self-motivated and self-initiating.
PHYSICAL DEMANDS:
· The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in this environment is quiet to loud depending upon the activity in the particular part of the day. Employee must be able to lift 50 lbs. Pay: $18.00 - $19.00 per hour
Expected hours: 25 – 32 per week
